Role Description The Commercial Operations Coordinator is a full-time, on-site role based in Jeddah. This role is responsible for coordinating day-to-day commercial activities, including managing orders, tracking deliveries, and maintaining accurate records of commercial transactions. The coordinator supports the commercial team by following up with clients and internal stakeholders, preparing reports, and ensuring timely completion of contracts and documentation. The role involves analyzing sales and market data, assisting in forecasting, and supporting commercial management in planning and execution. The coordinator also collaborates closely with cross-functional teams, helping to streamline processes, maintain effective communication, and uphold IKAR’s standards of service to healthcare partners. Qualifications Strong commercial management and operations coordination skills, with the ability to support sales and distribution activities. Proficiency in following up on tasks, orders, and client requests, ensuring timely and accurate completion. Solid analytical skills to interpret sales data, market trends, and performance reports. Ability to work in a structured, detail-oriented manner and adapt to evolving business needs.<br>Key Responsibilities: Order Processing & Invoicing Receive and review Purchase Orders (POs) from Sales Representatives. Validate PO details, including pricing, quantities, terms, and customer information. Accurately create Sales Orders in the ERP system. Coordinate with the warehouse team for order fulfillment (picking, packing, and dispatch). Generate invoices based on fulfilled orders. Obtain stamped and signed invoices from customers or the relevant parties. Upload and attach all related documents to the ERP system. Maintain an organized physical archive of all original documents. Logistics & Delivery Coordination Create Transfer Orders for stock movements from the Central Warehouse to customer locations. Issue Delivery Notes for all dispatched items. Coordinate with the logistics and delivery teams to ensure timely deliveries. Track delivery completion and resolve any discrepancies. Ensure consignment stock is invoiced within the defined timelines to minimize aging and improve cash flow. Proactively follow up on advance-delivered items to ensure timely invoicing in line with contractual and financial requirements. Monitor and maintain virtual warehouse balances in the ERP system to ensure the accuracy of consignment stock records.

Compliance & Operational Excellence Support compliance with procurement policies, including tendering and RFQ processes for suppliers outside approved vendor lists. Coordinate with Medical, Finance, and Procurement teams to ensure supplier compliance regarding contracts, payment terms, and payment processes. Monitor data quality and process adherence across all assigned systems and workflows. Identify opportunities for process improvement, automation, and standardization to enhance operational efficiency. Reporting & Analytics Prepare regular reports, dashboards, and performance trackers related to portfolio activities, launches, procurement, and business development projects. Monitor project timelines and key milestones, escalating delays or risks when required. Support management with accurate data and insights to facilitate decision-making. Cross-Functional Coordination Collaborate with Commercial, Supply Chain, Finance, Regulatory, Medical, Quality, and Procurement teams to ensure smooth execution of business activities. The role makes two key contributions to the business: developing the strategic direction for future growth and ensuring the highest standards of event delivery through effective execution.</p><br><p>The Exhibition Director must possess exceptional communication, reporting, and presentation skills, as the role requires regular engagement with senior executives, government officials, and key stakeholders across the Government of Saudi Arabia and Informa Markets. Job Purpose:Support logistics, expediting, and transportation activities by coordinating shipment readiness, material movement, delivery follow-up, and transport arrangements.
