Runner & Coordination • Visit suppliers, showrooms, contractors, and project sites as required. • Collect and deliver drawings, samples, documents, and materials. • Coordinate with vendors, consultants, contractors, and clients regarding documentation and deliveries. • Track sample approvals and ensure timely movement of materials between suppliers and the design office. Materials & Design Support • Understand and identify interior finishes, furniture, lighting, fabrics, flooring, stone, wood, metals, and other construction materials. • Review material submittals for completeness before designer review. • Assist in maintaining the material library and sample inventory. • Support designers in sourcing products and coordinating sample requests. Qualifications • Interior Design graduates are strongly preferred. • Minimum 2 years of experience in Interior Design, Fit-Out, Architecture, or Construction. • Experience in document control within design or construction projects is highly desirable. Coordinate and follow up on permit requirements from municipalities, engineering associations, government authorities, and other relevant entities in the Kingdom of Saudi Arabia. Support the project team in ensuring that required documentation is available and properly maintained.<br>Administrative Support Provide administrative support to the project team and ensure the smooth operation of day-to-day office activities. Coordinate printing, scanning, copying, binding, and other document-related requirements. Support project meetings through the preparation and distribution of required documents and records.<br>Storekeeping & Office Supplies Manage office storekeeping activities and maintain accurate inventory records. Monitor stock levels and identify reorder points for office supplies, consumables, and other administrative materials. Maintain proper records of received, issued, and remaining stock. Ensure that store items are properly organized, safely stored, and readily available when required. Conduct periodic inventory checks and report shortages, excess stock, or other discrepancies.<br>Reporting & Compliance Prepare periodic reports related to document control, administrative activities, permits, procurement, and storekeeping. Ensure compliance with DAO policies, project procedures, client requirements, and applicable regulations and standards in Saudi Arabia. Maintain confidentiality and proper control of project and company information. Identify opportunities to improve document control, filing, administrative processes, and inventory management.<br>General Responsibilities Coordinate effectively with project managers, engineers, consultants, contractors, suppliers, and other project stakeholders. Configure and operate the agreed common data environment, ensure that only complete and correctly coded submissions enter the review process, track every review/comment/action to closure, and build the handover dossier progressively. This role frees the three senior resources to perform analysis and site assurance rather than document chasing. Key responsibilities Implement Petromin's document-management procedure, numbering, metadata, folder structure, status/suitability codes, revision rules, transmittal workflow, review matrix and distribution groups. Establish and maintain the master document register and linked registers for drawings, calculations, specifications, materials, shop drawings, method statements, ITPs, RFIs, technical queries, deviations, NCRs, inspections/tests, samples/mock-ups, authorities/utilities, interfaces, decisions, changes and handover records. Perform submission compliance checks for document number, title, revision, status, discipline, package, native/searchable format, attachments, signatures/certification and superseded references; return administratively incomplete submissions with a recorded reason. Route complete submissions to the correct Petromin reviewers, record contractual and internal due dates, issue reminders/escalations and assemble one consolidated response authorised by the Senior Project Delivery, Controls & Contract Manager. Maintain the consolidated comment register from initial comment through Contractor response, reviewer disposition, incorporation in the next revision and formal closure. Prevent superseded or unapproved documents from being used; issue controlled distribution and maintain current-document lists for office and site teams. Administer meeting calendars, agendas, attendance, minutes, actions and decision references; link actions to supporting correspondence and evidence. Produce daily/weekly status and ageing dashboards for submissions, comments, RFIs, decisions, NCRs, approvals and handover deliverables. Maintain correspondence and notice logs without interpreting entitlement; immediately flag time-sensitive notices or contractual communications to the Senior Project Delivery, Controls & Contract Manager. Build the final handover index from mobilisation and reconcile as-builts, native files/BIM, test packs, asset data, O&M manuals, training, warranties, spare-parts records, certificates, authority approvals and snag/NCR closure. Apply access control, backup, audit trail, naming and retention requirements; maintain confidentiality and transfer the complete record to Petromin on demobilisation. Mandatory outputs Operational document-management procedure, review matrix and master document register within three working days of mobilisation or system access.
