Duties and Job Description

- Managing and organizing appointments, meetings, and sessions for lawyers and legal consultants, and following up on the legal calendar and adherence to statutory deadlines
- Preparing, drafting, and coordinating correspondence and official letters, meeting minutes, and other administrative and legal documents to the highest standards of accuracy and professionalism
- Organizing and archiving legal files and documents both in hard copy and electronically, ensuring easy access while maintaining confidentiality
- Following up on incoming and outgoing correspondence, coordinating with courts, government agencies, clients, and relevant parties to ensure tasks are completed on time
- Preparing legal files and documents required for sessions and meetings, and following up on the completion of documents and regulatory requirements
- Providing administrative support to lawyers and legal consultants, and following up on daily administrative tasks to ensure smooth operations
- Receiving clients and visitors, handling their inquiries professionally, and directing them to the appropriate department
- Monitoring deadlines related to cases, contracts, memoranda, and official correspondence, and notifying involved parties in a timely manner
- Entering and updating data on the firm’s electronic systems, and preparing periodic administrative reports when needed
- Maintaining confidentiality of information, documents, and data related to clients and cases, and adhering to the highest standards of integrity and professional ethics

Skills and Requirements

  • Bachelor’s degree in Office Administration, Business Administration, Secretariat, Law, or related field
  • Hands-on experience in secretarial work, preferably at a law firm, legal consultancy, or legal services firm
  • Experience in correspondence management, legal archiving, file organization, scheduling, and administrative support
  • Proficiency in Microsoft Office, especially Word, Excel, and Outlook, with ability to prepare and format documents professionally
  • Strong organizational and time-management skills, ability to prioritize and handle multitasking
  • Excellent professional communication skills and the ability to interact with clients and official entities with utmost courtesy and professionalism
  • Ability to maintain confidentiality of information and legal documents, and work to the highest standards of accuracy and responsibility
  • Ability to work under pressure and meet deadlines, with fast execution and quality performance
  • Prefer familiarity with judicial procedures and legal systems, and handling electronic court platforms
