Job Overview:


We are seeking a highly organized and detail-oriented HR Specialist to join our Human Resources team. The ideal candidate will play a pivotal role in supporting HR operations with a primary focus on onboarding mobilization, managing leave and vacation processes, handling employee letters, maintaining leave balances, and assisting with visa and work permit processes. This role is essential in ensuring a smooth and efficient experience for new hires and current employees.


Key Responsibilities:


  • Manage all aspects of leave management, including processing requests for annual leave, sick leave, and other types of leaves, ensuring compliance with company policies and local labor laws.
  • Oversee the time and attendance system, ensuring accurate tracking of employee work hours, attendance records, and timely submission of reports to payroll.
  • Manage overseas manpower sourcing, coordinating with international recruitment agencies to identify and onboard talent for expatriate roles.
  • Administer the application, renewal, and cancellation of work permits and visas for expatriate employees in Bahrain and Saudi Arabia.
  • Maintain and update a comprehensive database of employee leave balances, visa status, and work permit expiry dates, ensuring timely renewals and compliance.
  • Coordinate with government agencies, embassies, and immigration authorities to ensure expatriate employees comply with local legal requirements.
  • Facilitate the onboarding and offboarding process for expatriate employees, including orientation, legal document processing, and exit visa arrangements.
  • Serve as the main point of contact for expatriate employees, addressing HR-related inquiries and assisting with relocation services, including housing and schooling.
  • Collaborate with internal departments and external service providers to ensure smooth processing of expatriate-related issues, from visa approvals to housing arrangements.
  • Ensure that employee time and attendance records are accurate and that discrepancies are addressed in a timely manner, working closely with line managers.
  • Develop and maintain HR records and files, ensuring accuracy, confidentiality, and compliance with data protection laws.
  • Provide support to the HR Manager in the preparation and submission of regular reports on employee attendance, leave usage, and expatriate status.
  • Assist in the development and implementation of HR policies and procedures related to leave management, time and attendance, and expatriate services.
  • Ensure compliance with local labor laws and regulations in Bahrain and Saudi Arabia regarding expatriates and general employee management.
  • Act as a liaison between the company and external recruitment agencies, immigration authorities, and government bodies to handle complex expatriate cases and overseas recruitment.


Qualifications:


  • Bachelor’s degree in human resources, Business Administration, or related field.
  • 2-4 years of experience in Human Resources or a similar role.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Familiarity with HR software and databases is a plus.
  • High attention to detail and ability to maintain confidentiality.
  • Knowledge of labor laws and regulations related to leave and visa processes is preferred.
