Job Purpose:
The Planning Specialist must ensure that an organization optimally meets customer demand while minimizing excess inventory and stockouts and generate needed inventory for future demand thru forecasting systems and best practices available.
Role & Responsibilities:
Strategic Contribution
- Optimize Inventory Management by accurately forecasting demand. Demand & Supply planning helps in optimizing inventory levels. This ensures that the right products are available at the right time and in the right quantities, minimizing carrying costs and maximizing inventory turnover.
- Utilizing historical data, market trends, and customer insights to generate more accurate forecasts.
- Implement all material plans and ensure compliance with all purchasing policies and manage all communications.
- Ensure company processes, governance and protocols are maintained and strictly followed.
- Evaluate all quotes and coordinate with vendors to provide required components and analyse vendor performance to improve all purchasing processes.
- Develop and maintain professional relationships with all suppliers and prepare reports for all purchasing departments.
- Provide support to all managers to plan and execute all purchasing processes and provide an effective interface with all departments.
Expectations
- Perform and monitor everyday activities to ensure compliance with the planning Process.
- Maintain all audit activities and evaluate all purchase orders and payments performed and assist to eliminate any discrepancy in same.
- Perform all Demand & Supply activities and evaluate all purchase requisitions to be in line with S&OP
- Under leadership guidance prepare, present and/or contribute to the S&OP meetings with all division heads & External partners.
Operational
- Develop supply plans based on demand forecasts, inventory targets, and lead times.
- Analyse price proposals, financial reports, and other information to determine reasonable prices.
- Maintain and review records of items bought, costs, deliveries, product performance, and inventories.
- Review all the required shipping documents.
- Maintaining all the records and shipping files of the shipments.
- Expediting shipping documents/shipments.
- Liaising with the clearance team for the clearance of the shipment.
- Collect purchase orders and purchase requisitions to order materials, goods, and supplies, and send them to the suppliers.
- Interact with the suppliers on a day-to-day basis.
- Review deliveries against the orders.
- Report the damaged goods to the supplier & finance department.
- Ensure that any invoices are sent to accounts for payment.
- Create & present and maintain all needed reports or slides related to S&OP & Quarterly Business Review meetings.
- Follow up with the Regulatory department to get SFDA approval for the incoming shipments.
- Support operation team to get the aggregation file for uploading in SFDA system.
- Coordinate with suppliers to ensure timely and delivery of products to distribution centres.
- Create Inbound delivery & follow up with the operation team to create the good, received note (GRN).
- Follow up with suppliers & internal sales divisions for liquidation of the near expiry, slow-moving, and destruction.
- Creating a reconciliation Report for the destruction.
- Ensure no pending MTO needs to be delivered to customers & make monthly reconciliation reports for any pending.
- Evaluating the PR (Maintenance/MTO).
- Reporting the stock status for SFDA and Wasfatey where it is needed.
- Monitor, follow up and analyse to ensure that all goods are available on time and in full to achieve sales.
- Follow up for the action points related to MOM of S&OP, QBR.
- Deep dive analysis for aging stock & follow up to reduce the destruction value.
- Collects & validates all relevant data related to sales forecast considering seasonality and inventory targets in Value and Volume.
- Calculate the forecast accuracy & report to the sales representative.
- Generates Demand & Supply Plan based on agreed Safety stock level, MOQ, LT, Min-Max, and Projected Ending year Inventory.
- Highlights any issues and recommends action plans and solutions to prevent potential problems (overstock, below stock, stock-outs, expired or obsolete, etc.).
- Place purchase orders (POs) in the SAP system and do the necessary follow-up.
- Monitor, follow up and analyse to ensure that all goods are available on time and in full to achieve sales.
- Maintain the KPIs, including but not limited to, the number of stock days on hand, stock turnover, destruction percentage, and stock level at the warehouse.
- Calculate ABC analysis for stock classification and stock turnover.
- Analyse the non-saleable & slow-moving every month & report to the suppliers & Salehiya Sales divisions.
- Provide support to all managers to plan and execute all ordering processes and provide an effective interface with all departments.
- Create & present and maintain all needed reports or slides related to S&OP & Quarterly Business Review (QBR) meetings.
- Determine optimal inventory levels to meet customer demand while minimizing excess inventory and avoiding stockouts.
- Work closely with sales, marketing, operations, and supply chain teams to gather relevant information and insights for demand forecasting and supply planning.
- Communicate forecast updates, inventory status, and demand insights effectively across the organization to support decision-making and alignment.
- Track and report on key performance indicators (KPIs) related to demand & supply planning accuracy, inventory turnover, OTIF, DIO and other relevant metrics.
- Participate in cross-functional projects and initiatives to optimize supply chain processes, enhance customer service levels, and drive overall business growth.
- Proactively identify and resolve demand & supply planning issues, discrepancies, and exceptions to maintain optimal inventory levels and customer satisfaction.
- Performs other duties related to the supply process and takes on responsibilities as assigned.
Minimum Qualifications:
Bachelor’s degree in business, Supply Chain Management, Industrial Engineering, Healthcare, Finance, Business/Administration, Management, Operations Management.
Minimum Experience:
2 years of experience.
Microsoft Office, Knowledge of SAP, Power BI.
