Job Description

Provide administrative support to the executive office and its employees in order to ensure a smooth and uninterrupted flow of operations.

Roles & Responsibilities:

  • Screen and verify all official documents, received within and from outside the department, for distribution to the employee(s) concerned.
  • File relevant / important documentation, received from the Department Head, to the respective location in order to ensure proper safekeeping and control of departmental documents.
  • Screen and entertain all incoming visitors / guests who have a valid appointment(s) with department personnel in order to minimize work disruptions to the minimum level.
  • Monitor and maintain a sufficient level of supplies on hand, for department use, in order to ensure a smooth and uninterrupted flow of operation.
  • Verify the validity of documents, received for approval of the Department Head, with the respective policies and procedures of the other departments (e.g. HR, IT, Purchasing etc.) in order to ensure timely approval and processing of said documents / request.
  • Handle special tasks, as assigned by the Department Head from time to time.
  • Perform other duties as assigned
