Executive assistant

We are seeking a highly organized and proactive Executive Assistant to provide administrative and operational support to senior executives. The ideal candidate will have exceptional communication skills, a strong ability to multitask, and a keen attention to detail. You will manage schedules, coordinate meetings, handle confidential information, and assist with various administrative tasks to ensure the smooth running of executive operations.


Key Responsibilities:


Executive Support:

  • Manage the executive’s calendar, schedule meetings, and coordinate travel arrangements.
  • Act as a liaison between the executive and internal/external stakeholders.
  • Prepare and organize materials for meetings, including agendas, presentations, and reports.
  • Handle sensitive and confidential information with discretion.

Communication Management:

  • Screen and prioritize incoming emails, calls, and other correspondence.
  • Draft, proofread, and send professional communications on behalf of the executive.
  • Maintain effective communication with team members and clients to facilitate smooth operations.

Office Management:

  • Organize and maintain filing systems, both electronic and physical.
  • Coordinate and manage office supplies, equipment, and other administrative tasks.
  • Oversee day-to-day office operations and assist with other general administrative duties as needed.

Event Coordination:

  • Plan and organize meetings, conferences, and corporate events.
  • Assist with event logistics, including booking venues, arranging travel, and preparing materials.

Project Support:

  • Assist the executive with special projects and research.
  • Track and follow up on action items, ensuring deadlines are met.
  • Prepare reports and presentations for executive review.


Qualifications:


Education:

  • Bachelor’s degree in Business Administration, Communications, or related field.

Experience:

  • 3-5 years of experience as an executive assistant or in a similar administrative role.
  • Strong knowledge of office management and administrative procedures.
  • Experience supporting senior executives or management teams is a plus.

Skills & Competencies:

  • Exceptional organizational, time-management, and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and prioritize tasks effectively.
  • Discretion and confidentiality in handling sensitive information.
