We are seeking a highly organized and proactive Executive Assistant to provide administrative and operational support to senior executives. The ideal candidate will have exceptional communication skills, a strong ability to multitask, and a keen attention to detail. You will manage schedules, coordinate meetings, handle confidential information, and assist with various administrative tasks to ensure the smooth running of executive operations.
Key Responsibilities:
Executive Support:
- Manage the executive’s calendar, schedule meetings, and coordinate travel arrangements.
- Act as a liaison between the executive and internal/external stakeholders.
- Prepare and organize materials for meetings, including agendas, presentations, and reports.
- Handle sensitive and confidential information with discretion.
Communication Management:
- Screen and prioritize incoming emails, calls, and other correspondence.
- Draft, proofread, and send professional communications on behalf of the executive.
- Maintain effective communication with team members and clients to facilitate smooth operations.
Office Management:
- Organize and maintain filing systems, both electronic and physical.
- Coordinate and manage office supplies, equipment, and other administrative tasks.
- Oversee day-to-day office operations and assist with other general administrative duties as needed.
Event Coordination:
- Plan and organize meetings, conferences, and corporate events.
- Assist with event logistics, including booking venues, arranging travel, and preparing materials.
Project Support:
- Assist the executive with special projects and research.
- Track and follow up on action items, ensuring deadlines are met.
- Prepare reports and presentations for executive review.
Qualifications:
Education:
- Bachelor’s degree in Business Administration, Communications, or related field.
Experience:
- 3-5 years of experience as an executive assistant or in a similar administrative role.
- Strong knowledge of office management and administrative procedures.
- Experience supporting senior executives or management teams is a plus.
