We are seeking a Warehouse Supervisor responsible for maintaining accurate inventory records, managing stock, conducting periodic counts, resolving root causes of issues, and coordinating with operational teams, customer service, and Warehouse Management Systems (WMS) within a third-party logistics (3PL) environment. The role aims to ensure inventory safety for clients in accordance with service level agreements, reduce inventory discrepancies, and support efficient order fulfillment.


Main Responsibilities:

  • Maintain accurate inventory records in WMS and physical stock through regular counting and organized reconciliation.
  • Plan, execute, and approve inventory counting programs (daily/weekly/monthly) and manage physical inventory operations according to client contract requirements.
  • Investigate inventory discrepancies and variances; identify root causes and implement corrective actions in collaboration with operational teams and the inventory management system team.
  • Resolve inventory adjustments, returns, transfers, and ASN/GRN exceptions; prepare and dispatch inventory records accurately and according to procedures.
  • Monitor inventory movements, progress, stock velocity, and recommend actions (reallocation, vendor returns, scrapping) and manage compliance operations.
  • Ensure adherence to inventory control policies, standard operating procedures (SOPs), and best practices while driving continuous improvement initiatives.
  • Coordinate with clients and internal stakeholders for inventory-related investigations, requirements, periodic counting schedules, and performance indicator reports.
  • Ensure the accuracy of receiving operations, placement of goods in the warehouse, scanning and delivery, and support root cause analysis for scanning/delivery errors.
  • Prepare and evaluate periodic inventory reports and analyses (accuracy, shortages, inventory turnover, compliance with service level agreements) for management and clients.
  • Coordinate with IT support for resolving system issues and data integrity and barcode/scan issues, and implement system improvements or enhancements.
  • Train and guide warehouse staff and supervisors on inventory control procedures and the use of scanning/recording equipment.
  • Support internal and client-specific audit operations and ensure documentation and compliance with regulatory requirements (e.g., payment, invoices, serial numbers).


Qualifications and Experience Required:

  • Bachelor's degree in supply chain, logistics, business administration, accounting, or a related field, or equivalent combination of education and relevant experience.
  • Proven experience of 3-5 years or more in inventory control, preferably in a 3PL or high-volume distribution environment.
  • Strong operational knowledge of Warehouse Management Systems (WMS), ERP systems, barcode/RFID systems, and Excel proficiency with common systems like Infor, SAP, and Oracle is considered an advantage.
  • Demonstrated experience in conducting periodic counts, physical inventory, reconciliation, and investigating variances.
  • Experience in coordinating with clients and operational teams to resolve inventory issues and compliance with service level agreements.

  • Strong analytical skills and attention to detail; ability to work accurately with large data sets.
  • Problem-solving skills and root cause analysis, continuous improvement with Lean/Six Sigma concepts is a plus.
  • Excellent communication and stakeholder management skills; ability to clearly explain results to non-technical clients and staff.
  • Organizational skills and ability to prioritize in a fast-paced environment with tight deadlines.
  • Proficiency in MS Excel (Pivot tables, VLOOKUP/XLOOKUP, formulas) and reporting tools.
  • Ability to work as part of a team and lead cross-functional initiatives and train/guide warehouse staff.
  • Knowledge and adherence to loss prevention, safety, and compliance standards.


Key Performance Indicators (KPIs):

  • Inventory accuracy (100% based on item/transaction and overall total)
  • Average cycle count completion and response time for reconciliations
  • Average shortage/variance (value and percentage of inventory)
  • Accuracy of order requests and impact of compliance with shipping schedules related to inventory issues
  • Number and time to resolve incidents/requests related to inventory


Working Conditions:

  • Warehouse environment with repetitive motion, lifting, and standing; adherence to personal protective equipment and safety requirements is mandatory.
  • Work may require overtime, irregular hours, and support during weekend inventory operations.
  • Office work for report preparation and systems alongside field presence in warehouse areas.
