SELECTED is hiring for an Office Coordinator and Executive Assistant to join a leading international law firm in Riyadh.
This is a key hire within a growing office, supporting senior Partners while ensuring the smooth day to day running of the office. The position sits at the intersection of high level Executive Assistant support and office coordination, requiring someone who is organised, commercially aware and confident operating in a fast paced international environment.
The role
You will act as a trusted right hand to senior fee earners, providing seamless support across both client and internal responsibilities. This is a highly visible role within the business, working closely with Partners and wider regional teams.
Key responsibilities
Complex and ever changing diary management across multiple time zones Proactive inbox management and drafting correspondence on behalf of senior stakeholders Preparation, formatting and amendment of legal documents, presentations and reports Coordination of court filings, transactional closings and key deadlines Organisation of client meetings, conference calls and video conferences including briefing materials International travel coordination including visas, itineraries and detailed schedules Supporting billing processes including time entry, WIP tracking and liaising with finance Managing expenses and Partner administrative requirements Supporting business development activity including pitch documents, events and CRM updates Acting as a key point of contact for the office and liaising with building management and vendors Supporting onboarding of new joiners alongside HREnsuring meeting rooms and client areas are maintained to international standards Maintaining strict confidentiality across all matters
Candidate profile
Proven experience as a Legal PA or Executive Assistant within an international law firm Experience supporting senior Partners or high performing fee earners Strong understanding of legal documentation and billing processes Exceptional organisation and attention to detail Professional, discreet and confident in stakeholder management Fluent English is essential, Arabic is advantageous Experience within the Saudi market is preferred
