Job Description Position: Document Controller Department: PMOLocation: Riyadh Reports To: PMO Director Job Purpose The Document Controller is responsible for managing, controlling, and standardizing all project documentation across FBS to ensure accuracy, traceability, and compliance with internal procedures and client requirements. This role plays a critical part in strengthening project governance by ensuring proper document flow, secure archiving, version control, and accessibility—supporting effective project execution, performance monitoring, and regulatory compliance. Key Responsibilities1. Administrative Responsibilities Execute assigned tasks in alignment with departmental objectives, project timelines, and quality standards. Coordinate with cross-functional teams to ensure smooth workflow and document exchange. Compile, organize, and maintain documentation to support operational and project activities. Monitor task progress and escalate risks, delays, or issues to the direct manager. Support tracking of KPIs and performance metrics related to document control. Participate in team meetings and contribute to continuous improvement initiatives. Ensure timely and accurate submission of all assigned deliverables. Comply with company policies, procedures, and PMO standards. Perform additional duties as assigned by the direct manager.2. Technical Responsibilities Apply standardized document numbering, naming conventions, and version control. Assign and manage unique document codes for all project documentation (drawings, RFIs, submittals, etc.). Maintain document lifecycle control, ensuring obsolete versions are properly archived and controlled. Prepare, review, and distribute transmittals in accordance with client and project requirements. Maintain and update a comprehensive Document Tracker and submission logs. Monitor document review cycles and follow up on approvals, comments, and rejections. Maintain an up-to-date Master Submission Register accessible to stakeholders. Establish and manage project folder structures on Share Point in line with company standards. Ensure compliance with document storage, naming conventions, and access permissions. Conduct periodic audits to ensure adherence to document control procedures. Prepare and distribute Minutes of Meetings (MOM) within 24 hours and maintain proper archiving. Support tracking and documentation of RFIs, NOCs, and formal communications. Escalate overdue approvals and unresolved documentation issues to PMO or project managers. Coordinate with engineering, procurement, and quality teams to ensure smooth documentation flow. Ensure full compliance with approved templates and documentation standards. Report any deviations or non-conformities to the PMO Director and Business Excellence function. Manage project closeout documentation and ensure proper archiving in designated systems. Qualifications Education Bachelor’s degree in Business Administration, Information Management, or a related field. Experience3-5 years of experience in document control, document management, or archiving practices. Certifications (Preferred) Document Control Management Certification ISO Document Management Systems Languages Fluent in Arabic and English (written and verbal) Core Competencies Document Management & Control Attention to Detail & Accuracy Time Management & Organization Communication & Coordination Skills Process Compliance & Discipline Digital Tools & Systems Proficiency (MS Office, Share Point) Team Collaboration Problem-Solving & Proactive Mindset Adaptability & Learning Agility
