Tender Management & RFP Administration
• Tender Lifecycle Management: Support the full tender process from initiation to submission, including RFP/RFQ issuance, clarification management, bid evaluation coordination, and award tracking.
• RFP Creation & Issuance: Draft, format, and issue RFPs and RFQs to vendors, subcontractors, and service providers. Define scope, evaluation criteria, timelines, and submission requirements.
• Bidding Package Assembly: Compile comprehensive bid packages including technical specifications, commercial terms, compliance documentation, drawings, and supporting schedules.
• Clarification & Addenda: Manage the Q&A process during active tenders, receive, log, and distribute clarifications; issue addenda as needed.
Build-to-Suit & Tenant Improvement Coordination
• Client Requirements Management: Capture, organize, and track client requirements for build-to-suit data center facilities and tenant improvement projects. Maintain detailed requirement registers and gap analyses.
• Technical Compliance: Verify that design and construction deliverables align with client specifications, industry standards, and contractual obligations. Maintain compliance matrices and track deviations.
• Cross-Functional Coordination: Serve as the operational liaison between Design, Construction, and Facility Management teams. Ensure information flows accurately and on schedule across project phases.
Document Management & Quality Control
• Documentation Standards: Establish and maintain document control protocols for all tender and procurement files, version control, naming conventions, archival, and retrieval processes.
• Submission Quality: Review all outgoing submissions for completeness, formatting consistency, technical accuracy, and compliance with stated requirements before final issue.
• Template & Process Development: Enhance and maintain standardized templates for RFPs, bid evaluations, compliance checklists, and procurement workflows. Drive continuous improvement across processes.
Vendor & Subcontractor Management
• Vendor Communication: Coordinate with vendors and subcontractors throughout the procurement cycle, from pre-qualification to bid submission to contract execution.
• Bid Evaluation Support: Support the evaluation of received bids through technical and commercial comparison matrices. Prepare recommendation summaries for management review.
• Contract Support: Assist in the administration of NDAs, contracts, and related legal/commercial documentation during the procurement phase.
Collaboration & Reporting
• Team Coordination: Work closely with the business and technical teams to ensure proposal narratives and tender documentation are aligned and delivered as a cohesive package.
• Status Reporting: Maintain and communicate tender status, procurement timelines, and pipeline tracking reports to management.
Skills
• BSc/BE in Engineering, Architecture, Quantity Surveying, Construction Management, or a related field (or equivalent experience).
• 1–5 years of experience in tender management, procurement, quantity surveying, or project coordination, ideally in construction, infrastructure, or data center projects.
• Strong document management skills with a proven ability to maintain structured, high-volume documentation under tight deadlines.
• Experience with RFP/RFQ preparation and bid evaluation processes.
• Excellent attention to detail and the ability to verify technical compliance across complex, multi-disciplinary deliverables.
• Strong organizational and time management skills; comfortable managing parallel procurement streams simultaneously.
• Proficiency in Microsoft Office (Excel, Word, PowerPoint) and Adobe Acrobat. Experience with document management systems is a plus.
Bonus qualifications:
• Previous exposure to the Data Center, MEP, or mission-critical infrastructure sector.
• Familiarity with build-to-suit delivery models and tenant improvement workflows.
• Experience with procurement platforms, e-tendering systems, or ERP tools.
• Understanding of NDA and contract management processes.
