UAQ is currently seeking a Document Controller to join our team.
About the Role
The ideal candidate shall be following the mentioned below Responsibilities and Qualifications:
Key Responsibilities Administer and maintain the full process in ACONEX, including initiation, coordination, quality checking, and workflow delegation. Provide training and guidance on ACONEX usage to consultants and contractors. File, archive, and retrieve relevant documentation as needed. Check, edit, and ensure accuracy and compliance of documents. Control document flow in and out of the department. Report issues or updates regarding document storage. Ensure secure destruction and disposal of sensitive documents. Maintain both digital and physical records. Use content management systems to update internal databases. Attend meetings, take minutes, and maintain notes. Sort and distribute incoming mail; organize and send outgoing mail. Set up and maintain filing and archiving systems. Liaise with colleagues and external contacts to organize meetings and conferences.
Qualifications Diploma or degree in Business Administration or related field. Minimum of 3 years of relevant experience. Strong communication skills and ability to work effectively in a team. Excellent time management and organizational skills. Meticulous attention to detail. Ability to handle confidential matters with high integrity. Proactive and able to anticipate needs. Knowledge of secretarial duties (meeting arrangements, document filing, memo dictation, etc.). Proficient in MS Office applications. Fluency in English and/or Arabic. Ability to foster a positive workplace culture.
