Position Overview A Consultant Document Controller is responsible for managing, organizing, and safeguarding all project documentation on behalf of the consultant/engineer. This role ensures that all documents are properly received, reviewed, approved, distributed, archived, and controlled in accordance with project procedures, contractual requirements, and industry standards.
Key Responsibilities 1. Document Management & Control Maintain the project’s Document Control System (DCS) and ensure compliance with the approved Document Control Procedure. Register, track, and archive all incoming and outgoing documents, including drawings, technical submittals, RFIs, NCRs, MOMs, correspondences, and reports. Ensure all documents are correctly coded, version-controlled, and stored in the appropriate repositories. Maintain both electronic and hard copy filing systems.2. Document Review & Workflow Coordination Receive contractor submissions and route them to the relevant discipline engineers for review. Monitor review deadlines and follows up to ensure timely responses in line with contractual requirements. Ensure comments, approvals, and rejections are properly recorded and communicated to the contractor. Track revisions and ensure the latest approved documents are always available to the project team. 3. Communication & Correspondence Handling Manage all official project correspondences between consultant, client, and contractor. Ensure letters, memos, and emails are logged, distributed, and archived properly. Support the project manager in preparing and issuing formal communications.4. Reporting & Documentation Tracking Prepare weekly and monthly Document Control reports, including submission logs, overdue items, and status summaries. Maintain registers for drawings, submittals, RFIs, NCRs, site instructions, and other controlled documents. Provide document status updates to project management and client representatives. 5. Compliance & Quality Assurance Ensure all documentation complies with project specifications, ISO standards, and client requirements. Support audits by providing accurate and complete documentation records. Identify gaps or inconsistencies in documentation and escalate issues to the project manager.6. Coordination with Project Stakeholders Liaise with the contractor’s document control team to ensure smooth document flow. Coordinate with discipline engineers, QA/QC, planning, and site teams to ensure proper documentation support. Assist in preparing handover documentation and final project dossiers. 7. System Administration Manage access rights and user roles within the Document Control System. Provide training and support to project staff on document control procedures and systems. Ensure data backups and system integrity are maintained.
Required Skills & Qualifications Strong knowledge of document control procedures and standards (ISO 9001, project QA/QC). Proficiency in EDMS platforms (Share Point). Excellent organizational skills and attention to detail. Strong communication and coordination abilities. Experience in engineering consultancy or construction projects is highly preferred. Strong written communication and reading comprehension skills in English More than eight years of proven industry experience
