RESPONSIBILITIES
- Build, administer, and maintain structured project document management systems.
- Manage document numbering, naming conventions, classification, metadata, and filing standards.
- Collect and consolidate technical documentation from contractors, consultants, vendors, and OEMs.
- Track missing or overdue documentation and follow up with responsible stakeholders.
- Ensure all documentation is accurate, complete, correctly registered, and readily retrievable.
- Maintain strict document version control, revision histories, audit trails, and distribution records.
- Manage engineering drawings, as-built drawings, O&M manuals, technical records, and document libraries.
- Ensure inspection checklists, commissioning scripts, and other project records are uploaded and registered correctly.
- Support document retrieval requirements for engineering, construction, commissioning, and operations teams.
- Administer EDMS platforms, workflows, document reviews, transmittals, and approvals.
- Monitor and report document completeness, status, outstanding actions, and revisions.
- Maintain and report regularly on NCR status and trending.
- Coordinate with QA/QC, commissioning, engineering, project controls, and operations teams on documentation requirements.
- Support testing, commissioning, handover, and final documentation turnover.
- Maintain project documentation in accordance with applicable governance and quality requirements.
- Support audits and ensure requested records can be retrieved efficiently.
Desired Candidate Profile
- Bachelor s degree or diploma in Engineering, Document Control, Information Management, or a related field.
- Strong technical document control experience on data center or mission-critical projects.
- Experience administering Electronic Document Management Systems such as Aconex, SharePoint, Procore, or similar platforms.
- Strong knowledge of document lifecycle management, revision control, and document governance.
- Experience handling engineering drawings, O&M manuals, inspection records, and other technical documentation.
- Experience consolidating documentation from contractors, vendors, consultants, and OEMs.
- Strong knowledge of document numbering systems, metadata, classifications, and structured document libraries.
- Experience maintaining revision histories, audit trails, and controlled project records.
- Ability to coordinate effectively with engineering, commissioning, QA/QC, construction, and operations teams.
- Strong attention to detail, accuracy, organization, and follow-up.
- Strong communication and stakeholder coordination skills.
- Experience on hyperscale data center projects.
- Experience with telecommunications or major infrastructure programs.
- GCC or KSA project experience.
- Familiarity with ISO 19650 information management requirements.
- Familiarity with ISO 9001 documentation and quality management requirements.
- Document control certifications such as CDCS, CDCP, or equivalent.
- Experience managing technical libraries and handover documentation.
- Experience with reporting, tracking, and document status dashboards.
- Familiarity with commissioning documentation and project turnover requirements.
