Executive Office Manager (CEO Office) Job Overview:The Executive Office Manager is responsible for providing comprehensive administrative and executive support to the CEO. This includes managing and maintaining the CEO’s calendar, coordinating logistics for business travel, and overseeing all incoming and outgoing correspondence with internal departments and external stakeholders. Key Responsibilities:Manage and continuously update the CEO’s calendar and schedule. Coordinate and organize meetings, appointments, and required preparations. Oversee and manage all incoming and outgoing correspondence, including emails, ensuring efficient handling and follow-up. Liaise with internal departments and external entities to facilitate the flow of information, documents, and communications required by the CEO. Prepare reports, documents, presentations, and official correspondence for the CEO. Review all documents submitted to the CEO to ensure accuracy and completeness. Arrange and manage all logistical requirements for the CEO’s business travel. Manage and track all official correspondence, ensuring proper registration, numbering, distribution, and follow-up. Ensure that all incoming communications are responded to in a timely manner and follow up with concerned parties when needed. Handle and distribute confidential and urgent correspondence in accordance with established policies and procedures. Oversee the organization and maintenance of the CEO Office archive in line with approved policies and procedures. Managerial Responsibilities:Conduct regular meetings with team members to monitor progress and discuss updates. Oversee the development of team members, identify training needs, and evaluate outcomes. Perform periodic performance evaluations in line with the organization’s performance management system. Ensure adherence to policies and procedures within the CEO Office. Prepare periodic reports on the performance and achievements of the CEO Office. Qualifications & Experience:Bachelor’s degree (Master’s preferred) in Office Management or Business Administration or a related field. Minimum of 8 years of experience in executive office management or similar roles. Language Requirements:Arabic: Professional proficiency (spoken, written, and reading). English: Professional proficiency (spoken, written, and reading). Stakeholder Interaction:Internal:All organizational units within the Authority. External:External entities and stakeholders engaging with the CEO. External parties interacting with the Authority.
