We are looking for a motivated and skilled Business Development & Administration Coordinator to support the Head of Strategy & Business Development. We seek dedicated individuals who are proactive, commercially aware, and able to effectively multitask in a fast-paced consultancy environment. Our goal is to support your growth and help you pursue what inspires you, so we can create a significant impact together. This role requires strong interpersonal, communication, organizational, and follow-through skills, as well as the ability to work independently with discretion. The ideal candidate must be able to manage multiple deadlines simultaneously and coordinate efforts across business development, executive support, and commercial functions.


You will provide a wide variety of business development and administrative support services. You will be accountable for maintaining and tracking the business development pipeline, coordinating proposals and submissions, preparing reports and presentations, and supporting executive scheduling and documentation. You will also assist with client tracking, commercial coordination, and internal strategy reporting. Your strong organizational skills and ability to communicate with staff at all levels, both orally and in writing, will help us meet our strategic growth objectives.


 


RESPONSIBILITIES


  • Maintain and update the business development pipeline tracker, ensuring accurate tracking of leads, proposals, RFP deadlines, and follow-ups
  • Assist in preparing capability statements, tailored company profiles, proposals, expressions of interest (EOIs), and client presentations
  • Coordinate with technical teams to gather required input and documentation for submissions
  • Conduct basic market and competitor research to support strategic initiatives
  • Prepare meeting briefs prior to client and internal strategy meetings
  • Manage the calendar, meetings, and travel arrangements for the Head of Strategy & Business Development
  • Prepare meeting minutes and maintain follow-up action trackers
  • Organize and maintain digital files, documentation systems, and the client contact database (CRM)
  • Draft professional correspondence, emails, and internal communications
  • Support contract documentation, filing, and basic commercial coordination
  • Prepare weekly pipeline and activity reports, including tracking proposal submissions and win/loss data
  • Assist in preparing internal strategy presentations and executive reports
  • Support invoice tracking and reporting related to business development activities
  • Oversee assigned work from start to completion, ensuring timely and effective delivery of all tasks

 


QUALIFICATIONS


Required Qualifications


  • Bachelor’s degree or equivalent from a reputable university
  • 2–5 years of experience in administration, business support, or business development coordination
  • Fluency in written and spoken English (Arabic is an advantage)
  • Advanced computer skills in MS Office Suite: Word, Excel, Outlook, PowerPoint, and Teams
  • Demonstrate key competencies in the areas of communication, planning and organizing, flexibility and adaptability, problem assessment and problem-solving, attention to detail, and teamwork
  • Excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and suppliers
  • Experience in developing various types of reports, targeting different audiences
  • Experience in client-facing positions and preparing client-facing documents
  • Strong organizational skills with the ability to manage multiple deadlines simultaneously

Preferred Qualifications


  • Experience within a consultancy, engineering, real estate, or facilities management organization is highly preferred
  • Experience supporting senior executives or strategy leaders
  • Experience maintaining CRM systems and business development tracking tools
