Job Summary:

The Executive Assistant & Administrative Coordinator is a versatile role that combines high-level executive support with administrative and operational coordination responsibilities. This role ensures seamless executive operations, manages office processes, and supports overall organizational efficiency.


Key Responsibilities:


Executive Support:

  • Act as the primary point of contact for the executive, managing calendars, meetings, and communications with professionalism and discretion.
  • Schedule and coordinate internal and external meetings, including preparing agendas, presentations, and post-meeting follow-ups.
  • Manage travel arrangements, itineraries, and expense reports for the executive and other stakeholders as needed.


Administrative Coordination:

  • Maintain accurate and organized records, ensuring compliance with company policies and procedures.
  • Manage employee-related administrative tasks, such as maintaining personnel records, tracking attendance, and coordinating onboarding processes.
  • Plan and organize company events, training sessions, and team-building activities.


Operational Support:

  • Serve as a liaison between departments to ensure smooth execution of projects and initiatives.
  • Monitor and improve administrative processes to enhance organizational efficiency.
  • Support recruitment processes by coordinating candidate scheduling and assisting with onboarding activities.
  • Draft and distribute internal communications to ensure clarity and alignment across the organization.


Cross-Functional Support:

  • Provide ad-hoc support to other teams or executives as needed.


Qualifications:

  • Education: Bachelor’s degree in Business Administration, Management, or related field preferred.
  • Experience: 1-3 years of experience in executive support or office administration.
  • Skills:
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • High attention to detail and ability to handle confidential information.
  • Proactive and solution-oriented mindset.
