Head of Handover

Job Purpose:

The Head of Handover is responsible for managing and overseeing the entire handover process from construction or project completion to operations within a facility management context. This role ensures that all relevant documentation, assets, and systems are accurately transitioned, and that the facility is fully operational, compliant, and ready for day-to-day management.

Key Responsibilities:

  • Oversee Handover Process: Lead the handover process of newly built or renovated properties to ensure smooth transition to operations. Coordinate with construction teams, contractors, and other departments.
  • Documentation Management: Ensure that all necessary documentation (manuals, warranties, compliance certificates, as-built drawings, operation schedules) is received, reviewed, and handed over to the operations team.
  • Asset Verification: Verify that all assets (equipment, systems, and machinery) are in working order, and ensure that operations staff are trained to use them effectively.
  • Quality Assurance: Ensure that all systems and equipment meet company standards and client expectations before formal handover.
  • Coordination with Stakeholders: Collaborate with project managers, engineers, contractors, and client representatives to ensure alignment and address any discrepancies or issues.
  • Ensure Compliance: Ensure that all relevant safety, quality, and legal standards are met before the handover process is completed.
  • Training & Support: Coordinate training for the operations team on the facilities’ systems and any new equipment or processes implemented.
  • Reporting & Feedback: Prepare detailed reports on the handover process, including any challenges or areas for improvement, and provide recommendations to improve future handovers.
  • Post-Handover Support: Provide continued support during the initial operational phase after handover, ensuring that any issues or defects are addressed promptly.

Skills & Qualifications:

  • Bachelor’s degree in Facilities Management, Engineering, Construction, or a related field.
  • At least [5] years of experience in facility management or related sectors, with a focus on project handovers.
  • Strong knowledge of building systems, maintenance, operations, and industry standards.
  • Proven experience in managing cross-functional teams and coordinating with multiple stakeholders.
  • Excellent organizational and communication skills.
  • Problem-solving abilities and attention to detail.
  • Familiarity with relevant software tools for project management and documentation.

Preferred Skills:

  • Certification in Facilities Management (e.g., IFMA, BIFM) or Project Management (PMP).
  • Knowledge of sustainability and energy management practices.
  • Experience in managing both commercial and residential properties.

Working Conditions:

  • Full-time position.
  • Occasional travel to project sites may be required.
  • Work in an office environment, with occasional outdoor work related to site inspections and handover procedures.
