Job Purpose:


The Operations Supervisor should be responsible for ensuring efficient, accurate and timely warehouse operations. These operations include receiving, storage, order picking, shipping, inventory management and warehouse facility (space) management. The Operations supervisor must lead a team in a very busy environment, must have excellent organizational skills, attention to details and able to multitask.

Strategic Contribution:


  • To always maintain a high-quality image throughout the operations all the time.
  • Plan and prioritize work to manage time effectively and accomplish assigned tasks.
  • Build and maintain positive and effective relationships as well as to value the opinion of others.

Plan, Organize and review daily tasks of the direct team.


Leadership:


  • To supervise the operations team for timely and efficient completion of day-to-day activities such as Goods Inward, Order preparation, Dispatch, Product manipulation and storekeeping as per SOPs and QMS.
  • Control the movement of goods from suppliers, check for accuracy, and report any damage or loss could occur in order to reconcile the balance.
  • Supervision of product put away strategies in WMS
  • To motivate and lead the team to ensure logistics objectives are achieved.
  • Conduct Team briefing, on the Job coaching & performance feedback to staff
  • Plan with operations manager the staff annual leave.


Operational:


  • Evaluate daily workload, Plan and allocate work force to complete daily objectives.
  • Coordinate with Sales Depts. and branches for issuing and processing all transfers, and ensure all opened cases are closed.
  • Coordinate with the stock controller to conduct a random stock count from time to time for accuracy.
  • Ensure the temperature monitoring system works as per the SOP and QMS.
  • Ensure accurate and professional archiving system as per the SFDA guideline.
  • Ensure RSD – SFDA reporting system is running and updated for the new shipments instantly.
  • Ensure the RSD-SFDA reporting system is running and updated correctly for the dispatching events either to customers or branches.
  • Immediate removal of quarantined items (Damaged & Expired) based on official documentation.
  • Maintain a high level of accuracy on stocks and ensure damages are kept to the minimum
  • Ensure that the SFDA controlled inventory system is maintained correctly for the receiving new inventory and dispatching (If applicable).
  • Ensure that the SFDA narcotic inventory system is maintained correctly for the receiving new inventory and dispatching (If applicable).
  • Ensure that the working environment is pleasant and cooperative.
  • Proper and effective communication of information from the management to the employees.
  • Identify and recommend staff training requirements and impart the Training on SOP’s to new employee.
  • Ensure resources like storage space, manpower and equipment are efficiently utilized.
  • Ensure Machinery, equipment, consumables and other resources and properly planned, used and well maintained.
  • Quality, Health & Safety and Environment
  • Strictly follow SOP, QMS and work instructions. Also promote adherence to procedures by your staff.
  • Report all incidents, of any nature and however caused, to their immediate superior completing all necessary documentation promptly and accurately.
  • Ensuring timely calibration of Temperature sensors & equipment coordinating with purchase department and maintenance department.


Qualifications and Experience:


Minimum Qualifications: Bachelor’s degree or Diploma.

Minimum Experience: 3-5 years in Supply chain Logistic experience (Healthcare field is preferred).

Skills: fluent in English, MS, and Supply chain certification is preferred.
