- Act in accordance with policies and procedures covering office maintenance, office services, pantry services, cleaning services, and car fleet services and highlight gaps and opportunities for improvement to Manager, Office Services.
- Support in planning and managing equipment and building including workspace planning, supply of services, budgeting, maintenance, and renovations to formulate current and long-range programs whilst complying with relevant laws and working standards.
- Conduct the administrative services including but not limited to government relations, office access control, employee ID and access cards, courier services, archiving and document control under the responsibility of Office Services Department.
- Conduct office related services including but not limited to hospitality services (office boys, hygiene, beverages, fruits, materials delivery), cleaning services (cleaning services plan and schedule, deep clean, cleaning tools, checklist, materials delivery), safety & security services (emergency evacuation plan and inform all employees about all updated safety plan and activity) and catering services (receiving catering requests, contacting the vendor, providing options to the requester, and settling down all catering sets).
- Handle office assignments & keys including controlling all the organization’s office and gate keys, receiving the request by email, providing a spare key, making extra copies of the key, and assigning office as per HR direction.
- Maintain and manage office facilities including resolving issues, managing printing services, and managing stationery and plan and coordinate installations of all new office facilities.
- Conduct the day-to-day running and management of the office premises ensuring a health and safety compliant environment that is safe and comfortable for all employees and that all facilities within the premises are fit for purpose.
Academic & Professional Qualifications
- Diploma in Business Administration/Management, Office Management, Hospitality Management, Safety Tech. or related field.
- High School holders can be considered with extensive related experience focused in Office Services and Facility Management.
Experience
- A minimum of 2 years of experience in administrative and office services (including facilities and building management, health and safety, workplace environment) preferably in a:
- Diverse/multi-cultural business industry
- Multi-national companies
- Strategic development, global business development or similar type role
