Job Title: Commercial Operations Manager (Execution and Closure) Location: Saudi Arabia- Riyadh Role Summary The Commercial Operations Manager is the execution engine that keeps commercial workstreams moving across contracts and documentation, renewals, invoicing readiness, payment follow-ups, licensing/compliance administration, vendor coordination, and internal operational follow-ups. The role is highly hands-on and ensures items are closed end-to-end with strong tracking, clean documentation, and fast escalation of blockers. Note: CRM ownership is not part of this role (only light support if needed). Key Responsibilities1) Contracting & Commercial Documentation Coordinate drafting, editing, and finalization of NDAs, SOWs, addendums, and commercial agreements (Arabic/English when needed). Ensure correct entity details, templates, and version control. Manage signature workflows (including wet signatures when required) and maintain a clean audit trail. Maintain a structured filing system for executed documents and supporting materials.2) Renewals & Commercial Follow-Through Own renewal workflows end-to-end (quote request → approvals → PO → contract → payment → confirmation). Coordinate across customer stakeholders, internal owners, and vendors to avoid renewal lapses. Track renewal timelines and proactively escalate delays.3) Invoicing Readiness & Collections Support Ensure invoicing prerequisites are in place: POs, quantities/usage confirmation, reference numbers, approvals, and supporting documentation. Drive follow-ups on overdue payments and long-outstanding invoices in coordination with finance/internal owners. Maintain an “open items” list (what’s blocking invoicing and what’s blocking payment) with owners and deadlines.4) Licensing, Compliance & Corporate Administration Manage corporate renewals and compliance workflows: license renewals, establishment card renewals, reference numbers, and application tracking. Coordinate KYC and compliance requests with banks/partners, ensuring documentation completeness and timely submission. Handle required portal actions (submissions, payments/top-ups, status checks) until closure.5) Vendor & Tool Administration (Non-CRM) Administer day-to-day business tools and accounts: access provisioning, permissions, basic workspace organization, billing follow-ups, and cleanup. Open and manage vendor support tickets and ensure resolution and closure. Coordinate account/payment method updates on approved platforms when required.6) Partner Program / Portal Coordination Support onboarding and registration activities for partner portals/programs (document requirements, forms, approvals, submissions). Track outstanding requirements and close dependencies with internal stakeholders.7) Admin & Execution Support Coordinate meetings and follow-ups needed to unblock commercial execution (scheduling, agendas, action notes, reminders). Support onboarding logistics and operational coordination tasks (e.g., equipment shipment tracking, office/admin coordination) when required. Coordinate insurance admin workflows (document collection, broker follow-up, approval/purchase steps) as assigned.8) Reporting & Operating Cadence Produce structured daily/weekly updates: completed items, in-progress items, blockers, next steps, owners, and deadlines. Maintain a simple operational tracker covering: contracts/signatures, renewals, invoicing blockers, payment follow-ups, compliance renewals, portal actions, and support tickets. Escalate stalled workstreams early with clear options and recommended next actions. Scope Boundaries (Important) This role does not own:CRM hygiene, pipeline governance, or sales-team CRM enforcement (only light support if needed) Technical solution design/architecture or delivery scoping Pricing strategy and commercial negotiation (unless explicitly delegated for coordination only) HR ownership (beyond admin support tasks assigned) Required Skills & Experience4–10 years in commercial operations, business operations, contracts administration, or sales operations (execution-focused). Strong document discipline: version control, templates, signatures, audit trails. Proven ability to run multiple follow-up threads without dropping items. Comfortable coordinating invoicing prerequisites and payment follow-ups with finance. Strong stakeholder management and written communication (email + Whats App-style coordination). Arabic + English is a plus (if bilingual documentation is required).
