Job Overview

We are seeking a motivated and highly organized secretary to join our team in Saudi Arabia 

This internship-level role provides an excellent opportunity to develop professional administrative skills within a dynamic environment. 

The successful candidate will support daily office operations, coordinate communications, and assist with a variety of administrative tasks to ensure smooth workflow and timely execution of projects.

Key Responsibilities

  • Greet visitors, answer and direct phone calls, and manage a multi-line telephone system with courtesy and professionalism.
  • Maintain and organize electronic and physical filing systems; ensure confidentiality of sensitive information.
  • Prepare, format, and edit correspondence, reports, and presentations; assist with document control.
  • Schedule meetings, coordinate room reservations, and manage calendars for executives and teams.
  • Coordinate travel arrangements, accommodations, and related expense reports.
  • Manage incoming and outgoing mail and email communications; draft routine responses as needed.
  • Support office supplies management, inventory, and procurement processes within approved budgets.
  • Assist with data entry, basic bookkeeping tasks, and record-keeping as assigned.
  • Collaborate with colleagues to improve office processes and contribute to team projects.

 

Qualifications and Requirements

  • Bachelor’s degree from a recognized university; suitable for an internship pathway.
  • Strong command of written and spoken English; proficiency in French or Arabic is advantageous.
  • Proficiency with office software (Microsoft Office suite, Google Workspace) and basic IT skills.
  • Excellent organizational abilities with close attention to detail and accuracy.
  • Effective time management and the ability to multitask in a fast-paced environment.
  • Professional demeanor, discretion, and ability to handle confidential information.
  • Strong communication and interpersonal skills; customer-service oriented.
  • Willingness to take initiative, learn quickly, and work collaboratively in a team.
