Key Responsibilities
- Greet visitors, answer and direct phone calls, and manage a multi-line telephone system with courtesy and professionalism.
- Maintain and organize electronic and physical filing systems; ensure confidentiality of sensitive information.
- Prepare, format, and edit correspondence, reports, and presentations; assist with document control.
- Schedule meetings, coordinate room reservations, and manage calendars for executives and teams.
- Coordinate travel arrangements, accommodations, and related expense reports.
- Manage incoming and outgoing mail and email communications; draft routine responses as needed.
- Support office supplies management, inventory, and procurement processes within approved budgets.
- Assist with data entry, basic bookkeeping tasks, and record-keeping as assigned.
- Collaborate with colleagues to improve office processes and contribute to team projects.
Qualifications and Requirements
- Bachelor’s degree from a recognized university; suitable for an internship pathway.
- Strong command of written and spoken English; proficiency in French or Arabic is advantageous.
- Proficiency with office software (Microsoft Office suite, Google Workspace) and basic IT skills.
- Excellent organizational abilities with close attention to detail and accuracy.
- Effective time management and the ability to multitask in a fast-paced environment.
- Professional demeanor, discretion, and ability to handle confidential information.
