Job Responsibilities for Facilities Services Coordinator

  1. Invoice Management:
  • Manage utility invoices for properties.
  • Submit and follow up on service invoices, ensuring timely payments.
  • Establish a database for utility invoices associated with properties and update it as necessary.
  1. Supplier Communication:
  • Interact with service providers and governmental entities.
  • Address any issues or inquiries related to the services provided.
  • Organize meetings and visit suppliers to discuss service quality, resolve outstanding issues, and manage complaints.
  1. Government Liaison:
  • Submit and follow up on requests and procedures for services related to properties.
  • Prepare necessary applications and ensure compliance with the requirements for new projects.
  1. Service Coordination:
  • Organize maintenance schedules and various services.
  • Ensure coordination between the maintenance team, service providers, and tenants to facilitate access.
  1. Reporting:
  • Monitor overall consumption and provide monthly reports to management.
  • Inform management and the maintenance team of any sudden discrepancies in consumption.
  1. Budget Management:
  • Assist in developing the budget for services and facilities.
  • Monitor expenses and ensure adherence to the approved budget.
