Role Purpose:
Responsible in administrative works for Leasing Management at Residence.
Key Activities:
- Engage in pre-leasing activities maintaining registrations and view calendar; prospects and waiting list;
- Ensure apartment viewings are booked on timely manner as per residents and team schedules and maintain booking calendar.
- Ensure resident fill up client’s registration forms on every viewing and update System with relevant prospect information’s.
- Ensure new client enquiry are answered.
- Maintain the enquiry; prospect and waiting list on day to day bases.
- Assisting in follow up of in rent collection and other due payments for leases and system update (when required):
- Regular Follow up on outstanding’s with clients until complete.
- Ensuring clients relationships are well maintained, client’s requests are answered timely (phone/email/portal/ face to face) (immediate and not more than 1 working day for follow up and closure response):
- Communication clients is no longer than 12 h upon receiving query. Where follow up needed, update to be send to the client until its completion on regular bases at all times.
- Portal communication updates / when and where required (when implemented).
- Ensuring implementation and adhering to the department policy and procedure;
- Following all the processes and policies with no deviation from it, and escalating for any problematic areas.
- Ensuring immediate implementation on any updated or new policy / process.
- Ensure required processes pertaining to new leasing is adhered to on daily bases:
- Ensuring the vacancy list is regularly updated.
- Ensuring tenancy agreement is duly updated with required information’s.
- Ensuring all leasing documents are duly signed and executed from both parties.
- Ensuring all details of new leases are correct in updated in System with required documents and prospects duly recorded and attached in System at all times.
- Units under reinstatement maintenance to be duly noted in applicable System as such.
- Payments duly to be submitted and followed up with finance.
- Ensure Move in calendar is up to date:
- The residents move in to be completed within the agreed timeline, maintain the move in schedule and regularly update responsible team.
- Contribute to identification of opportunities for continuous improvement of department function, processes and practices taking into account “international best practice”, improvement of business processes and productivity improvement.
- Reports and Ad Hock Requests As and when requested, aiding in reporting and providing details with timeframe requested.
- Assisting in day to day admin work:
- Day to Day admin work and filing when and where required.
- Updating facility community bookings when and where required.
Skills
Job related Skills:
- Good knowledge of MS Office.
- Familiarity with other software’s (Oracle / SAP, Estate Master or equivalent),
- Bilingual and well-spoken in English.
