We are seeking a professional and organized Site Office Secretary to join our team. The Site Office Secretary will be responsible for providing administrative and secretarial support to the site office staff, ensuring the smooth and efficient running of the office. The ideal candidate will have excellent communication and organizational skills, as well as the ability to multi-task and prioritize tasks effectively.
Responsibilities:
- Greet and welcome visitors to the site office, and direct them to the appropriate staff member or department
- Answer and direct phone calls in a professional and courteous manner
- Maintain and update office records, including filing, data entry, and document management
- Coordinate and schedule meetings, appointments, and site visits for the office staff
- Prepare and distribute correspondence, memos, and reports as required
- Assist in the preparation of documents, presentations, and other materials for meetings and site activities
- Manage office supplies and equipment, and place orders as needed
- Assist with travel arrangements and accommodation bookings for the office staff
- Provide general administrative support to the office staff, including photocopying, scanning, and organizing files
- Assist with any other duties as required to ensure the smooth running of the site office
Skills
- High school diploma or equivalent; additional qualification as a secretary or administrative assistant will be a plus
- Proven experience as a secretary or administrative assistant
- Proficient in Microsoft Office suite (Word, Excel, Outlook, PowerPoint)
- Excellent communication and interpersonal skills
- Strong organizational and time management skills
- Ability to work effectively in a fast-paced environment and multitask
- Attention to detail and accuracy
