Job Summary:
We are seeking a highly skilled and experienced Document Controller to join our team in a contracting company. The ideal candidate will have a minimum of 5 years of experience in document control, particularly in the contracting industry, and will be proficient in using document management platforms such as ACONEX, PMWeb, and other similar systems. The role involves managing all project documentation, ensuring compliance with industry standards, and supporting effective communication with clients, consultants, and subcontractors. Fluency in English, both written and spoken, is a must.
Key Responsibilities:
- Manage and control all project-related documents, including drawings, technical submittals, method statements, RFIs, material approvals, and correspondence.
- Maintain and update the document control system, ensuring all documents are accurate, properly filed, and easily retrievable.
- Use document control software platforms such as ACONEX, PM Web, and other systems to manage and track documents.
- Ensure all documentation meets client and consultant standards, project requirements, and company policies.
- Work closely with project teams, ensuring timely submission and approval of all documentation required for project execution.
- Review incoming and outgoing documents to ensure compliance with project-specific procedures and regulations.
- Communicate with internal and external stakeholders, including clients, consultants, subcontractors, and project teams, to ensure smooth and efficient document flow.
- Assist in preparing document transmittals and maintaining logs to track the status of submitted documents.
- Ensure document versions are controlled and archived appropriately.
- Support the preparation of progress reports by providing updated documentation logs and reports to project management teams.
- Maintain confidentiality and security of all sensitive documents.
Requirements:
- Bachelor’s degree in a related field or equivalent work experience.
- Minimum of 5 years of experience as a Document Controller in a contracting company.
- Proven experience using document management platforms like ACONEX, PMWeb, or similar systems.
- Strong understanding of project documentation types in construction and contracting industries (e.g., drawings, technical submittals, method statements, RFIs, and material approvals).
- Fluency in English, both written and spoken, is a must.
- Familiarity with construction terminology and processes.
- Excellent organizational skills and attention to detail.
- Ability to work under pressure and meet tight deadlines.
- Strong communication skills to liaise with various stakeholders.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and document control software.
Preferred:
- Experience with large-scale construction projects.
- Certifications or training in document control systems and project management.
