We are seeking an HR Administrator with strong skills in recruitment coordination, workforce reporting, visa processing, and mobilization activities.

Key Responsibilities
Recruitment Coordination Support recruitment activities by maintaining candidate databases, recruitment trackers, and hiring reports. Schedule interviews and coordinate with candidates and hiring managers. Track recruitment progress and maintain accurate records of candidates throughout the hiring process. Prepare interview schedules, candidate profiles, and recruitment documentation. Follow up on interview feedback, approvals, and hiring status updates.
Reporting & Data Analysis Prepare and maintain weekly and monthly HR, recruitment, and mobilization reports. Generate workforce reports, recruitment dashboards, and management summaries. Analyze recruitment, mobilization, and workforce data to identify trends and provide insights. Maintain real-time workforce trackers including:Open positions Candidates in process Mobilized employees Visa status Workforce availability Ensure data accuracy, consistency, and audit readiness across all HR records. Create and update spreadsheets, reports, and dashboards using Microsoft Excel and reporting tools.
Visa & Mobilization Administration Maintain visa and mobilization trackers with accurate and up-to-date information. Coordinate visa documentation and processing activities. Follow up on visa approvals, renewals, and mobilization requirements. Coordinate employee onboarding and deployment activities. Track employee readiness for mobilization and project assignments. Liaise with Government Relations, Operations, and Project Teams to ensure timely workforce deployment.
Administrative Support Maintain employee records, HR documentation, and filing systems. Prepare employment-related documents and administrative correspondence. Ensure all recruitment and mobilization records are properly documented and archived. Support process improvements and maintain HR administrative procedures. Coordinate with internal stakeholders to ensure timely completion of HR-related activities.
Stakeholder Coordination Communicate professionally with candidates, employees, managers, and external service providers. Follow up proactively on pending approvals, documentation, and recruitment activities. Escalate delays and administrative issues when necessary. Support cross-functional teams with workforce planning and reporting requirements.
Required Education/ Experience
Bachelor's Degree in Human Resources, Business Administration, Information Technology, Management, or any related field. Minimum 2–5 years of experience in HR Administration, Recruitment Coordination, HR Operations, Workforce Administration, Data Analysis or related administrative roles. Experience managing reports, trackers, databases, and workforce information is essential. Previous experience supporting recruitment and mobilization activities is preferred. Experience in construction, engineering, manufacturing, oil & gas, or project-based industries will be an advantage Excellent English communication skills (written and verbal). Strong administrative and organizational skills. Advanced proficiency in Microsoft Excel and reporting tools. Strong analytical and data management abilities. Experience preparing weekly and monthly management reports. Ability to maintain accurate records and handle large volumes of data. Strong attention to detail and follow-up skills. Ability to work effectively in a fast-paced and multicultural environment.
Preferred Skills Knowledge of visa processing and workforce mobilization activities. Experience with HR systems, ATS platforms, and reporting dashboards. Knowledge of labor regulations and workforce administration processes.
