Job Description


The Project Administrator is responsible for smoothly executing and coordinating post-order activities for non-PM-managed KOB2 and OEM valve orders. This role ensures accurate documentation, timely delivery, and effective client communication to support on-time delivery (OTD) and customer satisfaction. The position involves cross-functional collaboration with engineering, supply chain, quality, and factory teams.


In this role, your responsibilities will be:


1. Post-Order Management 


  • Handle end-to-end post-order execution for all non-PM handled KOB2 and OEM orders. 
  • Review purchase orders, specifications, and contractual requirements to ensure compliance. 

2. Client Communication & Documentation 


  • Serve as the primary point of contact for clients regarding documentation, expediting updates, SPDP requirements, and progress reporting. 
  • Ensure timely submission and approval of all required documents (datasheets, drawings, QAP, ITP, etc.). 

3. Meetings & Stakeholder Engagement 


  • Attend Pre-Inspection Meetings (PIMs), expediting meetings, factory liaison meetings, and other project-related discussions. 
  • Record minutes of meetings and ensure follow-up actions are executed. 

4. OEM Order Management 


  • Drive critical OEM orders internally by coordinating with procurement, suppliers, and factories. 
  • Monitor order progress closely to improve on-time delivery (OTD) and enhance customer satisfaction. 

5. Document Management 


  • Schedule and lead meetings with the client’s project team to accelerate document reviews and approvals. 
  • Track document status through internal systems and ensure closure within agreed timelines. 

7. Inspection & Delivery Coordination 


  • Coordinate with clients for IRN (Inspection Release Note) / final inspection follow-up. 
  • Ensure the timely readiness of valves for inspection and delivery. 
  • Provide customers with up-to-date delivery schedules and shipping information.

8. Discrepancy & Inspection Issue Handling 


  • Address discrepancies raised by OEM clients during inspection. 
  • Coordinate with Quality and Engineering teams to determine resolution. 
  • Raise and track Service Requests as needed to ensure the timely closure of inspection-related issues.

Who you are?


Project Administration with hands-on experience in executing and coordinating post-order activities for non-PM-managed KOB2 and OEM valve orders. Skilled in documentation, timely delivery, and effective client communication. Known for strong analytical skills, cross-functional collaboration, and a quality-driven approach.


For this role, you will need:


  • Bachelor’s in Business Administration or Science/Engineering 
  • Administration & Organizational skills 
  • 2-4 years of Experience in a relevant role.
  • Excellent command of spoken and written English. 

Preferred Qualifications


  • Familiar with SharePoint and other Microsoft cloud sharing apps.
  • Arabic Language is an added advantage.
  • PMO specification certifications like PMP, CAPM will be an advantage.
