Waad Education is seeking a dynamic and organized Receptionist to be the first point of contact for our school community.
This multifaceted role combines administrative support with supervision responsibilities to ensure the smooth operation of our school environment.
As the Receptionist, you will manage front desk operations, greet visitors, handle inquiries, and provide information about our programs and services.
You will also assist in supervising the daily activities of our staff and students, contributing to a positive and productive atmosphere throughout the school.
The ideal candidate will have excellent communication and interpersonal skills, a proactive approach to conflict resolution, and the ability to work collaboratively with staff, students, and parents.
This position requires a strong organizational ability to manage multiple tasks effectively while ensuring the highest level of professionalism and customer service.
Key Responsibilities Maintain a visitor log, documenting all visits with complete details and the purpose of each visit.
Greet all guests with a warm smile and professional courtesy, striving to fulfill their needs whenever possible.
Stay at your station during working hours except for emergencies, ensuring a replacement is arranged if you must step away.
Communicate effectively with all departments regarding visitors or guests coming to see them.
Obtain scheduled visit agendas from departments and be prepared to assist visitors accordingly.
Ensure every visitor wears a visitor badge while inside the school premises.
Answer daily incoming phone calls from parents, coordinate with supervisors to provide swift responses.
Handle urgent calls from parents, working with school supervisors to resolve issues promptly.
Return all missed calls daily and fill out the related tracking form.
Provide on-site support at external marketing events, introducing the school’s services and registering new students.
Organize guided tours for prospective parents or investors, showcasing school facilities and services.
Assist with scheduling and booking small meeting spaces if needed.
Help maintain organized p aper and electronic records related to front desk operations.
Any other tasks as assigned by the administration.
Bachelor’s degree; relevant coursework or training in office administration or management is a plus.
Previous experience in a receptionist or administrative role; experience in an educational setting preferred.
Strong communication and interpersonal skills to interact effectively with students, parents, and staff.
Proficient in Microsoft Office Suite and other relevant software applications.
Excellent organizational skills with the ability to multitask and prioritize effectively.
Demonstrated problem-solving skills and the ability to handle challenging situations with professionalism.
Ability to work collaboratively in a team-oriented and inclusive environment.
Fluency in Arabic and English is required.
