Position Overview

The HR Coordinator will play a key role in supporting the daily operations of the HR department, including managing recruitment processes, maintaining employee records, ensuring compliance with labour laws, and assisting with employee relations. This role will also support PRO/GRO services, ensuring smooth coordination of employee visas, work permits, and other government-related services in KSA. The ideal candidate will demonstrate excellent organizational skills, strong communication abilities, and a deep understanding of HR policies, procedures, and the local labor laws in KSA.

Key Responsibilities / Accountabilities

·      Coordinate recruitment processes by posting job openings, screening resumes, scheduling interviews, and conducting reference checks.

·      Maintain accurate employee records and HR databases to ensure up-to-date information.

·      Support onboarding activities, including conducting orientation sessions and assisting with new hire paperwork.

·      Organize employee training and development programs to enhance skills and knowledge.

·      Ensure compliance with company policies, procedures, and relevant labour laws.

·      Provide administrative support to the HR team, including scheduling meetings, preparing reports, and managing HR files.

·      Handle employee inquiries at all levels, offering timely support and solutions.

·      Ensure full compliance with employment laws and regulations in the Kingdom of Saudi Arabia.

·      Support PRO/GRO services by managing employee visa, work permit, and other government-related services through the Absher and Muqeem portals. This includes processing residency permits (Iqama), exit/re-entry visas, and renewals, as well as coordinating with the Saudi Ministry of Labor and other government bodies.

·      Monitor the status of government-related documents and portals and ensure timely renewals or updates for all employees.

·      Add employees to the company’s health insurance plan by coordinating with the insurance provider and ensuring all employees are properly enrolled and covered.

·      Maintain accurate records of health insurance coverage for all employees, ensuring timely renewals.

·      Track and manage expiration dates of employee visas, work permits, health insurance, and other critical documents, ensuring all deadlines are met to prevent disruptions in employee status.

·      Keep a detailed record of all expiration dates for office contracts (e.g., lease agreements, vendor contracts), and send reminders to ensure renewals or renegotiations are handled promptly.

·      Monitor the status of government-related documents and ensure timely renewals or updates for all employees.

·      Process payroll and manage GOSI contributions for employees, ensuring accurate and timely payments and compliance with Saudi regulations.

·      Fluency in English and Arabic to support communication across all levels of the organization and facilitate interaction with government entities.

Skills and Experience

·      Bachelor's degree in Human Resources

·      2-4 years of experience in human resources or a similar role, with a focus on recruitment, employee relations, and HR administration.

·      Strong understanding of HR policies, procedures, and KSA labor laws.

·      Excellent written and verbal communication skills, with fluency in both English and Arabic.

·      Ability to handle sensitive information with discretion and maintain confidentiality.

·      Highly organized with a keen eye for detail.

·      Problem-Solving: Strong analytical and problem-solving skills, able to thrive in a fast-paced environment.

·      Ability to collaborate and adapt in a dynamic work environment.

·      Skilled in prioritizing multiple tasks and meeting deadlines.

Desired Candidate Profile

·      A minimum of 3-5 years' experience in HR and PRO GRO functions within Saudi Arabia.

·      In-depth knowledge of government portals and application processes (e.g., QIWA, IQAMA, GOSI).

·      Strong understanding of government relations and the visa, licensing, and permit processes.

·      Valid Saudi Arabian driver’s license.

·      Proven experience in managing complex HR and government-related tasks.

·      Strong attention to detail and ability to handle legal documents, including contract amendments and employee record updates.

·      Analytical mindset with the ability to use data for decision-making and process improvements.

·      Ability to maintain composure and work efficiently under pressure.
