• Environmental Consultancy Services including Circular Economy, Air Pollution Dispersion Modeling, Noise Modeling, Special Consultancy services, Environmental Impact Assessments (EIA), Issuance and/or Renewal of Environmental Permits to Construct and/or to Operate, etc.
Job Summary
The Document Controller is responsible for managing, organizing, and controlling all project documentation for the company projects. This includes receiving, distributing, and maintaining documents, ensuring the proper version control, and adhering to project document control procedures. The role ensures efficient document flow between the project site, office, clients, contractors, and other stakeholders, maintaining the accuracy and availability of documents throughout the project lifecycle.
Key Responsibilities
1. Document Control & Management
- Manage and control all project-related documents, including drawings, specifications, contracts, RFIs, submittals, and reports.
- Establish and maintain a well-organized document control system, ensuring proper categorization and indexing of documents for easy access and retrieval.
- Receive, check, and log incoming documents to ensure compliance with document control standards.
2. Document Distribution & Tracking
- Distribute project documents to internal and external stakeholders as per the project’s document distribution matrix.
- Track and record document receipt and distribution status to ensure all parties have the correct versions of documents at all times.
- Regularly update and track document versions and revisions, ensuring that only the latest documents are in circulation.
3. Version Control & Document Integrity
- Maintain document version control, ensuring that the most current versions of documents are always accessible.
- Track changes, approvals, and amendments to project documents, ensuring proper documentation of revisions.
- Ensure all documents are correctly named and coded according to project standards.
4. Quality Control & Compliance
- Review documents for completeness, accuracy, and adherence to company and project standards before distribution.
- Ensure document control processes meet industry standards, project specifications, and internal quality guidelines.
- Support audits by providing necessary documentation and ensuring the document control system is audit-ready at all times.
5. Collaboration & Communication
- Act as the main point of contact for document control activities at the projects.
- Collaborate with projects managers, contractors, and subcontractors to ensure smooth communication of document-related matters.
- Liaise between the site and office teams to ensure proper document flow and resolution of any document-related issues.
6. Reporting & Logs
- Maintain logs and records of all documents received and issued, providing regular reports to projects management on document status, revisions, and pending actions.
- Prepare and distribute reports on projects documentation for internal and external stakeholders.
- Monitor document approval timelines and follow up on overdue actions to prevent delays.
7. Archiving & Project Closeout
- Ensure proper archiving of project documents, both during the project lifecycle and at the project’s closeout.
- Coordinate the handover of documents to the client or project owner, ensuring that all required documentation is complete, accurate, and organized.
Qualifications and Skills
- Education: High school diploma or equivalent. A certificate or diploma in document control or records management is a plus.
- Experience:
- Minimum of 3 years of experience in document control, preferably within the construction, engineering, or project-based environment.
- Familiarity with document control systems (e.g., Aconex, SharePoint, Procore, etc.).
- Skills:
- Strong organizational skills with a focus on detail and accuracy.
- Proficiency in using document management software and Microsoft Office (Word, Excel, Outlook).
- Excellent communication and interpersonal skills for dealing with site staff and external stakeholders.
- Ability to work under pressure and manage multiple tasks in a fast-paced environment.
- Knowledge of project documentation processes, including version control, distribution, and document lifecycle management.
