Role Purpose:
The Office Manager is responsible for overseeing the day-to-day administrative operations and ensuring the smooth running of the office for a real estate development company. This role provides high-level administrative support to the Managing Director and other key stakeholders. Additionally, the Office Manager will be responsible for the Project Management Office (PMO), ensuring that projects are managed efficiently and effectively, aligning with the company’s strategic goals.
Key Activities:
- Lead and direct all team assistants in the smooth running of day-to-day operations in the office to ensure the accurate execution and tracking of all administration processes in line with company policies.
- Prepare and produce documents, agendas, general correspondence, memoranda, and professional presentations for the MD and Board if required.
- Screen calls and emails and provide high-quality administrative support to the MD.
- Oversee the Project Management Office (PMO), ensuring that projects are managed efficiently and effectively, aligning with the company’s strategic goals.
- Attend senior level meetings and conferences, record the minutes of meeting and send reminders for the salient action points that needs immediate attention.
- Supervise and coach team assistants to ensure the quality and document control.
- Act as a focal point with client, guests and other associates.
- Organize and manage travel schedules for the MD
- Ensure office support is maintained i.e. faxing, typing letters and answer all telephone and email queries and filing systems
- Oversee and submit detailed report of office and miscellaneous expenses to the Management.
- Proactively resolve any issues relating to daily office operations.
