Job Purpose:
The Senior Specialist, Planning & Scheduling is responsible for leading the day-to-day operations of the mobility planning and scheduling function. The role ensures the delivery of accurate, efficient, and timely plans for all land and marine mobility services while maintaining adherence to business rules and operational standards. Acting as the bridge between management and the Senior Coordinators, the Senior Specialist provides oversight, guidance, and quality assurance on planning activities, supports process improvements, and ensures effective communication and coordination among all internal and external stakeholders.
Job Responsibilities:
Team Leadership & Operational Oversight Supervise the daily work of Senior Coordinators, ensuring accuracy, timeliness, and compliance with planning standards. Provide day-to-day direction, coaching, and performance feedback to team members. Review and validate plans, schedules, and booking confirmations prepared by the team. Act as first escalation point for operational planning issues, resolving conflicts before elevating to the Management. Ensure the team maintains effective communication with internal and external stakeholders. Planning & Scheduling Execution Oversee the creation of accurate, mistake-free mobility operational plans across land and marine services. Ensure all incoming bookings are validated in line with established business rules. Review and approve daily plans prior to distribution to operational teams. Monitor planning KPIs, identify deviations, and recommend corrective actions. Support the preparation of shift rosters and resource allocation to meet demand forecasts. Stakeholder Coordination Act as a coordination point between the planning team, TOCC, events, and mobility operations teams. Liaise with external partners such as DMCs, resorts, and transport service providers to ensure seamless planning and execution. Support in managing complex or high-profile stakeholder requests and communications. Facilitate timely dissemination of plans and operational updates to all relevant stakeholders. Process Improvement & Systems Support Support initiatives to enhance planning efficiency through systems, tools, and automation improvements. Identify recurring issues or process gaps and propose actionable solutions. Assist in maintaining and updating the Mobility Business Rules Document. Contribute to developing and implementing standard operating procedures and planning best practices. Reporting & Communication Prepare and present daily/weekly planning performance reports. Ensure all communications and documentation are accurate, professional, and aligned with departmental standards. Support in handling and responding to stakeholder correspondence and escalations
Job Requirements:
Qualifications & Experience:Education: Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field. Experience: 2–3 years of experience in logistics, transportation, or mobility planning operations.
Skills: Proficient in Microsoft Office and familiar with mobility or scheduling systems. Strong communication, coordination, and problem-solving abilities. Detail-oriented with the ability to manage multiple tasks under pressure.
Job Context:Flexible to work in remote site environments, including weekends, night shifts, and national holidays as required.
