Job Description:

Qiyam is a consulting and investment solutions company specialized in enhancing the Pilgrim Services sector, seeking a creative and experienced Executive Assistant to support executive leadership and ensure the smooth and efficient operation of daily tasks and strategic initiatives. The ideal candidate is highly organized, detail-oriented, proactive, and able to manage multiple priorities while maintaining professionalism and confidentiality. This role supports a mission-driven company operating within the Pilgrim Services ecosystem, requiring sensitivity to cultural, social, and developmental objectives aligned with the company’s strategic impact. Key Responsibilities:
1. Research & Analytical Support
o Conduct targeted research on administrative, operational, developmental, and sector-specific topics relevant to the Pilgrim Services ecosystem.
o Analyze reports, studies, and stakeholder documents and extract key insights for executive decision-making.
o Prepare bilingual executive briefs supporting strategic projects and partnerships.
o Gather information from government entities, sector reports, consulting references, and competitors relevant to Qiyam’s service offerings.
2. Content & Document Development
o Develop high-quality Power Point presentations aligned with Qiyam’s brand, values, and consulting standards.
o Prepare structured documents, policies, procedures, and frameworks supporting strategic and operational initiatives.
o Edit, proofread, and refine content to ensure clarity, professionalism, and alignment with Qiyam’s methodologies.
o Provide accurate Arabic-English translation for documents, proposals, and communications.
3. Information & Communication Management
o Consolidate input from internal teams to create weekly, monthly, and project-specific reports.
o Draft official emails and communications in Arabic and English with a professional and culturally aligned tone.
o Prepare briefing notes for executive meetings with partners, government entities, and strategic stakeholders.
o Manage the executive calendar with clear prioritization that reflects the company’s strategic commitments.
4. Project & Initiative Support
o Follow up on action items across consulting projects, investment initiatives, and partnership programs.
o Maintain action logs, trackers, and project dashboards to support timely execution.
o Support the CEO and leadership team in preparing strategic documents relating to customer experience, investment opportunities, and sector development.
o Organize and safeguard sensitive files related to national projects, stakeholder engagements, and executive planning.
5. Executive Operations & Coordination
o Coordinate meetings, workshops, and engagements with internal teams and strategic partners across the Pilgrim Services ecosystem.
o Manage travel logistics and executive scheduling efficiently.
o Represent the company professionally when receiving high-profile guests and delegations.
o Respond to urgent matters with professionalism, judgment, and initiative.
Required Skills & Competencies:
Analytical Competencies:
Strong ability to analyze sector information and identify relevant insights.
Clear, structured thinking aligned with consulting and development work.
Understanding the Pilgrim Services sector dynamics is a plus.
Linguistic & Communication Skills:
Excellent command of Arabic and English.
Professional writing, reporting, and translation abilities.
Strong communication and presentation skills.
Technical Skills:
Advanced proficiency in Microsoft Office (Word, Power Point, Excel).
Ability to prepare structured consulting documents and executive presentations.
Experience with tools such as Notion, Miro, or Canva (preferred).
Strong file organization and document management skills.

Qualifications:
Bachelor's degree in business administration or a related field.
3 – 5 years of experience as an Executive Assistant or in a similar role.
Previous experience in consulting or development sectors is highly preferred.
Experience preparing strategic documents and formal presentations is an advantage.
Proficient in speaking and writing Arabic and English professionally.

Skills: Bachelor’s degree in Event Management, Business Administration, Marketing, or related field.

Minimum of 10 years of experience in event management, with at least 5 years in a senior leadership role.

Proven track record of successfully managing large-scale, high-profile events.

Experience in managing high budget governmental events.

Strong financial acumen with experience in budget management.

Ability to work under pressure, meet tight deadlines, and manage multiple projects simultaneously.

Experience in the planning and execution of events and marketing campaigns on a national scale.
