Jacobs is seeking a full-time, highly organized and detail-oriented Project Assistant to be based in our client’s offices in Qatar. Each day you will be an important part of the client team as you assist with a variety of tasks over the phone, email and face to face, as well as assisting staff. The successful candidate will have experience in administrative and clerical support and document control and a proven track record of delivering exceptional customer service, and streamlining processes to maximize efficiency. The successful candidate will perform a variety of administrative and clerical support tasks, including supporting the client leadership and Project Managers.

Duties and responsibilities will include, but not be limited to, the following:

  • Providing professional and efficient administrative support to the client’s leadership, project management and delivery team.
  • Supporting management staff with various administrative duties, including document control.
  • Being a point of contact for a range of staff.
  • Scheduling meetings and appointments.
  • Researching and booking travel arrangements and logistics for team members.
  • Preparing documents for meetings and business trips.
  • Processing and directing incoming and outgoing mail.
  • Preparing correspondence and reports on behalf of team members or senior staff.
  • Preparing meeting agendas, preparing meeting PowerPoint presentations, taking, and preparing detailed meeting notes.
  • Organizing catering for meetings or functions.
  • Assisting other Project Assistants with tasks, as required.
  • Efficiently handle multiple tasks simultaneously, prioritizing and managing time effectively.

Here's What You'll Need

As a successful candidate you will have the following qualifications, experience and skills:

  • Bachelor's degree in Engineering, Project Management, Business Administration or a related field.
  • Proven experience as a Project Assistant or in a similar administrative role
  • Fluency in Arabic and English is mandatory.
  • Minimum of 2+ years of relevant experience.
  • Proficiency with Microsoft Office including Word, Excel, Outlook and PowerPoint.
  • Outstanding multitasking abilities.
  • Ability to work well under pressure and meet deadlines.
  • A can-do attitude.
