Key Responsibilities

  • Manage and maintain all construction project documentation, including engineering drawings, shop drawings, material submittals, RFIs, WIRs, method statements, and technical documents.

  • Establish and maintain an efficient document control system for construction projects.

  • Receive, register, distribute, track, and archive incoming and outgoing project documents.

  • Maintain document registers, transmittals, drawing logs, correspondence logs, and technical submittal records.

  • Ensure all project documents are properly numbered, filed, updated, and stored in accordance with company procedures.

  • Control the issuance, revision, and distribution of construction drawings and technical documentation.

  • Coordinate with Project Managers, Site Engineers, QA/QC Engineers, consultants, subcontractors, suppliers, and clients regarding document submissions and approvals.

  • Monitor document approval status and follow up on pending documents to support project schedules.

  • Prepare document transmittals and maintain accurate records of all project correspondence.

  • Maintain both electronic and hard-copy filing systems while ensuring document security and confidentiality.

  • Support site teams by ensuring they have access to the latest approved drawings and project documents.

  • Assist in preparing project reports, handover documents, operation & maintenance (O&M) manuals, and project close-out documentation.

  • Ensure compliance with company document control procedures, quality standards, and ISO requirements.

Perform regular audits to verify document accuracy, completeness, and version control

Desired Candidate Profile

Qualifications & Skills

  • Bachelor's Degree or Diploma in Business Administration, Engineering, Information Management, or a related field.

  • Minimum 3–8 years of experience as a Document Controller in construction projects.

  • Proven experience working on building construction, infrastructure, MEP, civil engineering, or industrial construction projects.

  • Previous Saudi Arabia or GCC construction experience is highly preferred.

  • Strong knowledge of construction documentation, engineering drawings, document control procedures, and project management processes.

  • Experience handling shop drawings, material submittals, RFIs, method statements, WIRs, MIRs, inspection reports, QA/QC documentation, and project correspondence.

  • Proficiency in Microsoft Office (Excel, Word, Outlook).

  • Experience using document management systems such as Aconex, Procore, EDMS, SharePoint, or similar platforms is an advantage.

  • Excellent organizational, communication, and coordination skills.

  • High attention to detail with strong document management and record-keeping abilities.

  • Ability to work under pressure and manage multiple construction projects simultaneously.

  • Knowledge of Saudi construction standards and documentation requirements is an advantage.

  • Valid Saudi Arabian driving license is preferred.

Preferred Experience

  • Experience working for construction contractors, engineering companies, or project management firms.

  • Familiarity with Saudi authority documentation and approval processes.

  • Experience supporting remote construction sites and multiple project locations.

  • Knowledge of ISO 9001 document control procedures.

  • Experience preparing project handover files, O&M manuals, and close-out documentation.

  • Familiarity with QA/QC documentation, HSE records, and construction project reporting.
