Role Overview
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office in Riyadh. The ideal candidate will ensure that our office runs smoothly and efficiently, managing administrative functions, coordinating office activities, and supporting staff to create a productive work environment.
Key Responsibilities:
1. Office Administration:
- Oversee general office operations, including managing office supplies, equipment, and maintenance.
- Coordinate office services such as cleaning, security, and reception.
-Maintain updated records of agreements / supplier contracts and keep track of renewals
- Implement and maintain office policies and procedures.
2. Administrative Support:
- Provide administrative support to senior management and other departments as needed.
- Schedule and organize meetings, support with setting up conferences, and support with company events.
- Prepare and manage correspondence, reports, and presentations.
3. Team Coordination:
- Supervise and support administrative staff, including receptionists, drivers and administrative assistants.
- Facilitate communication between departments to ensure smooth operations.
4. Financial Administration:
- Manage office budgets, process invoices, and track expenses.
- Coordinate with the finance department for financial reporting and budgeting.
5. HR Support:
- Assist with logistics of visitors from regional offices.
- Support employee relations and address workplace issues as needed.
6. Compliance and Safety:
- Ensure compliance with local labor laws, health, and safety regulations.
- Maintain up-to-date knowledge of legal and regulatory requirements affecting the office.
7. Other Duties:
- Handle special projects and perform other duties as assigned.
Qualifications:
- Bachelor’s degree in business administration, Management, or a related field.
- Proven experience as an Office Manager, Administrative Assistant, or similar role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
- Knowledge of local Labor laws and office regulations in Saudi Arabia.
- Ability to work independently and as part of a team.
