Job Title: Project Administrator

Company Introduction:
We are a leading EPC contracting company in Saudi Arabia, specializing in high voltage (HV) and extra-high voltage (EHV) substations, overhead transmission lines (OHTL), power plants, water treatment plants, water pipelines, and industrial plant projects. To ensure seamless coordination of project and HR activities, we are seeking a proactive Project Administrator to support both project operations and HR functions.
Position Overview:
The Project Administrator will play a dual role in facilitating both general project administration and HR-related tasks. This includes managing documentation, coordinating schedules, tracking project progress, and supporting HR activities like onboarding, compliance, and workforce planning. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively.
Key Responsibilities:
Project Administration:
- Assist project managers in developing and maintaining project plans, schedules, and resource allocations.
- Coordinate meetings, prepare agendas, and document action items and follow-ups.
- Monitor project progress and maintain detailed records, ensuring alignment with timelines and budgets.
- Support the preparation of reports, presentations, and documentation for stakeholders.
- Liaise with procurement, finance, and other departments to ensure the timely delivery of project needs.
HR Support:
- Coordinate and support HR activities, including recruitment, onboarding, and training sessions.
- Maintain employee records and ensure compliance with labor laws and company policies.
- Track manpower allocation and coordinate with HR to address workforce requirements for projects.
- Assist with employee engagement initiatives, such as events and feedback programs.
Documentation and Record-Keeping:
- Manage and maintain organized records of contracts, reports, invoices, and other project-related documents.
- Ensure timely and accurate filing of HR and project documentation for compliance and audits.
- Create and maintain comprehensive project logs, including risks, issues, and change requests.
Communication and Coordination:
- Act as the primary point of contact for project and HR-related administrative queries.
- Coordinate communication between HR, project teams, contractors, and vendors.
- Facilitate seamless interaction between departments to ensure the smooth execution of tasks.
Financial and Budget Support:
- Assist in tracking project expenses, invoices, and budgets.
- Support HR and project managers in preparing and monitoring financial reports.
- Identify and address discrepancies in budget allocations or spending.
Compliance and Risk Management:
- Ensure all project and HR activities comply with internal policies and external regulations.
- Monitor and document project risks, escalating concerns to management as necessary.
- Prepare required documentation for audits and regulatory inspections.
Process Improvement:
- Identify and implement opportunities to streamline administrative processes for projects and HR.
- Introduce tools and practices to enhance efficiency in managing schedules, tasks, and resources.
- Stay updated on industry trends and best practices to ensure the continuous improvement of project and HR functions.
Qualifications:
- Education:
- Bachelor’s degree in Business Administration, Human Resources, or a related field.
- Experience:
- Minimum of 3-5 years of experience in project administration or HR support roles.
- Experience in the construction or EPC industry is an advantage.
- Key Skills:
- Strong organizational and time-management skills to handle diverse responsibilities.
- Proficiency in project management tools (e.g., MS Project, Primavera P6) and HR systems (e.g., HRIS, LMS).
- Excellent communication and interpersonal skills to liaise with multiple stakeholders.
- Analytical and problem-solving skills for addressing project and HR challenges.
- Knowledge of labor laws, compliance standards, and HR best practices.
