The Executive Secretary plays a pivotal role in ensuring the smooth operation of the office by providing high-level administrative support to executives and management. This position requires a proactive individual who can manage multiple tasks efficiently while maintaining a high standard of professionalism. The ideal candidate will possess strong organizational skills and the ability to communicate effectively across various levels of the organization. The Executive Secretary will be responsible for coordinating schedules, managing correspondence, and facilitating communication within the company and with external stakeholders.

Responsibilities:

  1. Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  2. Must be willing and able to travel as required based on company needs
  3. Prepare and edit correspondence, reports, and presentations to ensure clarity and professionalism.
  4. Act as the primary point of contact for internal and external communications, ensuring timely responses.
  5. Organize and maintain filing systems, both electronic and paper, for easy retrieval of information.
  6. Assist in the preparation of budgets and financial reports, providing administrative support to the finance department.
  7. Coordinate and plan company events, meetings, and conferences, ensuring all logistical details are handled.
  8. Conduct research and compile data for various projects and presentations as needed.


Preferred Candidate:

  1. Proven experience as an executive secretary or similar administrative role.
  2. Exceptional organizational and multitasking abilities.
  3. Strong verbal and written communication skills in both English and Arabic.
