Executive Assistant to be responsible for managing the Managing Director's daily activities, ensuring seamless operations, and contributing to the strategic and administrative functions of the organization. The ideal candidate must possess excellent organizational, analytical, and communication skills and be capable of handling multiple responsibilities with discretion and professionalism.
Job Description
- Manage the Managing Director’s calendar, schedule appointments, and organize meetings.
- Attend meetings alongside the Managing Director, prepare detailed Minutes of Meetings (MOM), and ensure follow-up on actionable items.
- Handle all correspondence, including drafting and responding to emails on behalf of the Managing Director.
- Organize travel arrangements, including visa processing, flight bookings, and accommodation.
- Maintain an organized filing system for all documents, reports, and correspondence.
- Prepare analytical reports and presentations for the Managing Director, summarizing key data and insights.
- Monitor progress on the company’s strategic development and improvement plans, providing regular updates and reports.
- Develop and maintain a KPIs management dashboard to track company performance against objectives.
- Conduct research and compile data to support strategic decision-making.
- Ensure awareness and adherence to the company’s minimum compliance standards across all departments.
- Act as the Compliance Officer to monitor regulatory requirements and prepare compliance reports.
- Coordinate compliance-related activities and ensure timely resolution of any compliance issues.
- Support cross-functional teams to ensure seamless execution of strategic objectives.
Qualifications
- Bachelor’s degree in business administration, Management, or a related field.
- Minimum of 5 years of experience as an Executive Assistant, supporting MD or C-level executives.
- Proven experience in preparing reports, dashboards, and presentations.
- Familiarity with compliance standards and regulatory requirements is highly desirable.
- High level of discretion and professionalism in handling confidential matters.
- Strong organizational and multitasking abilities with attention to detail.
- Excellent verbal and written communication skills in English; proficiency in Arabic is a strong advantage.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint & Power BI) and other relevant software tools.
- Analytical mindset with the ability to prepare and interpret complex data.
- Strong interpersonal skills and the ability to work collaboratively with various stakeholders.
- Self-motivated, proactive, and capable of working independently under minimal supervision.
- Strong time management and ability to meet tight deadlines.
- Adaptable to changing priorities in a dynamic environment.
