Job Purpose
A coordinator helps an organization run efficiently by handling all administrative chores.
Job Responsibilities
- Provide a full secretarial and administrative support service to Design and Engineering department.
- Full responsibility for to book meeting rooms, plan travel, ensuring critical meetings have sufficient preparation time, arranging team meetings and workshops.
- Employee directory update on weekly basis.
- Prepare PowerPoint presentations, aligned with the RSG brand, which provide interest and clarity.
- Schedule and arrange for face-to-face meetings with the Executive either at RSG’s office in Riyadh or the site offices. Receive visitors to the office and arrange refreshments as appropriate.
- Maintain filing system on a shared drive and all personnel records.
- Make all travel arrangements for the Executive, including flights, accommodation, and car hire.
- Scan and log all expenses associated with the Executive’s business travel.
- Arrange for any meetings required by the Executive.
- Operate standard office equipment such as word processor, photocopier etc.
- Seating plan arrangements.
- UPS shipments.
Job Requirements:
- Bachelor’s Degree or Diploma with minimum 3+ years secretarial experience, at least 3 years supporting administration filed.
- Excellent MS Office knowledge (Word, Excel, Power Point & Visio, Outlook)
- Excellent verbal and written communication skills (English and Arabic)
- Outstanding organizational and time management skills with a clear ability to prioritize
- Acquainted with office management systems and procedures
- Ability to collate and portray information accurately
