Project Coordinator

Job Purpose:


The Project Coordinator will assist in planning, executing, and finalizing projects according to strict deadlines and within budget. This role requires excellent organizational, communication, and time management skills. The Project Coordinator will work with various internal teams and external stakeholders to ensure project deliverables meet quality standards and are completed on time.



Key Responsibilities:


Project Planning and Scheduling:

  • Assist in developing detailed project plans, timelines, and work schedules.
  • Coordinate internal resources and third parties/vendors for the flawless execution of projects.
  • Organize and attend project meetings, prepare agendas, and take meeting minutes.


Monitoring Progress:

  • Track and report project milestones, deliverables, and key performance indicators (KPIs).
  • Monitor project timelines, ensure adherence to schedules, and communicate any delays or issues promptly.
  • Manage project documentation, including project plans, schedules, budgets, and status reports.


Communication:

  • Serve as the primary point of contact for project team members, vendors, and stakeholders.
  • Facilitate clear communication between all project stakeholders to ensure alignment on project goals and deliverables.
  • Prepare regular project updates and reports for internal and external stakeholders.


Risk and Issue Management:

  • Identify potential project risks and issues and assist in developing mitigation strategies.
  • Escalate critical risks or issues to the Project Manager when necessary.


Resource Management:

  • Help manage the allocation of resources, including personnel and equipment, to ensure project success.
  • Coordinate with HR and relevant departments to ensure the availability of the required team members and expertise.


Budget and Financial Oversight:

  • Assist the Project Manager in tracking project budgets, ensuring projects stay within financial limits.
  • Prepare budget reports, cost estimations, and variance reports as needed.


Quality Control:

  • Ensure that all project deliverables meet quality standards and adhere to the company’s policies and procedures.
  • Assist in reviewing and approving work to maintain quality consistency across all projects.


Procurement and Vendor Management:

  • Support the procurement of materials, supplies, and services as required by the project.
  • Liaise with vendors to ensure timely delivery and resolve any supply chain issues.


Post-Project Activities:

  • Coordinate project closure activities, ensuring that all project documentation is completed and archived.
  • Assist in conducting post-project reviews to assess outcomes and identify areas for improvement.



Qualification and Experience:


  • Bachelor’s degree in Business Administration, Project Management, or a related field.
  • 2-3 years of experience in project coordination or a related role.
  • Experience in managing project documentation, budgets, schedules, and resources.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
