Under the hood, we build systems to manage sourcing of cars, inspection, photography, merchandising, reconditioning, financing, insurance, shipping and many more. The People Operations Specialist is responsible for managing and executing all HR operational activities with high accuracy and full compliance with Saudi Labor Law and Ministry of Human Resources platforms. The role focuses on ensuring smooth employee lifecycle processes, minimizing legal and operational risks, and delivering a positive employee experience from onboarding to offboarding.
Key Responsibilities1. People Operations & Employee Lifecycle Manage end-to-end onboarding for new hires, including:Preparing employment contracts via Qiwa. Medical insurance enrollment. Coordinating with IT for email and equipment setup. Creating and maintaining employee files. Coordinating with Finance, Government Relations, and insurance providers. Ensure all employees are fully ready from their first day of work. Handle daily HR operational requests such as salary certificates, insurance additions, employee data updates, and official letters.
2. Operational Organization & Process Management Organize HR operations in environments with limited or no automation. Use tracking tools (checklists, trackers, spreadsheets, shared drives) to ensure no operational steps are missed. Follow up with internal and external stakeholders (IT, Finance, GR, Insurance). Manage multiple tasks simultaneously while meeting deadlines. Prioritize daily tasks effectively under pressure while maintaining output quality.
3. Compliance & Legal Risk Management Ensure employee files are complete, accurate, and compliant (contracts, signed documents, valid IDs). Identify and resolve compliance gaps within tight timelines (e.g., 48-hour deadlines). Develop short-term corrective action plans and long-term archiving and documentation systems. Maintain structured and secure employee records. Ensure all HR practices are aligned with Saudi Labor Law and MHRSD regulations.
4. Employee Relations & Internal Investigations Handle internal complaints and misconduct cases objectively and professionally. Conduct fair and documented investigations, including:Collecting statements and evidence. Reviewing records and communications. Documenting investigation outcomes and recommendations. Advise management on appropriate actions while ensuring legal compliance and fairness.
5. Termination & Disciplinary Actions Manage termination cases in accordance with Saudi Labor Law. Provide guidance on the appropriate use of legal articles (e.g., Article 77 vs. Article 80). Assess legal and financial risks related to termination decisions. Clearly explain legal implications and recommended actions to management. Ensure all termination processes are documented and compliant.
6. Ethics & Professional Conduct Uphold high ethical and professional standards at all times. Act as a neutral and trusted party between employees and management. Refuse non-compliant practices, even under pressure. Handle employee concerns and escalations professionally and empathetically. Protect both employee rights and company interests.
Qualifications:Bachelor’s degree in human resources, Business Administration, or a related field. Proven experience in HR Operations within Saudi Arabia. Strong knowledge of Saudi Labor Law and MHRSD platforms (Qiwa, GOSI, insurance systems). Experience working in manual or semi-manual HR environments.
