Job Details

Data Entry & Information Management

  • Accurately enter information into databases, spreadsheets, CRM systems, and other approved platforms.
  • Transfer data from forms, documents, emails, reports, and other authorized sources.
  • Create new records and update existing information.
  • Review entered information for accuracy and completeness.
  • Verify names, dates, contact information, reference numbers, and other business data.
  • Identify missing, duplicate, outdated, or inconsistent information.
  • Correct routine errors according to established procedures.
  • Maintain consistent formatting and data-entry standards.
  • Complete assigned data-entry tasks within established deadlines.

Administrative Support

  • Provide general administrative and clerical support to supervisors and internal teams.
  • Process routine forms, documents, and administrative requests.
  • Maintain trackers, logs, lists, and task records.
  • Prepare basic reports, summaries, correspondence, and other documents.
  • Monitor outstanding administrative assignments.
  • Retrieve information and documentation for authorized employees.
  • Follow up on pending requests when assigned.
  • Assist with special administrative and data-management projects.

Spreadsheet & Database Management

  • Maintain spreadsheets using Microsoft Excel, Google Sheets, or similar applications.
  • Enter, sort, filter, categorize, and organize information.
  • Review spreadsheets for errors and missing data.
  • Maintain accurate database records.
  • Assist with database cleanup and duplicate-record identification.
  • Prepare basic data summaries when requested.
  • Support routine data-quality and verification activities.

Document & File Management

  • Review and process routine business documents.
  • Upload, rename, categorize, and organize electronic files.
  • Maintain structured digital filing systems.
  • Follow established file-naming conventions.
  • Check documents for missing or incomplete information.
  • Retrieve files for authorized team members.
  • Assist with digital file cleanup and archiving.
  • Maintain organized shared folders and cloud-based records.

Email & Administrative Communication

  • Monitor assigned administrative inboxes.
  • Review incoming requests and determine appropriate actions.
  • Respond to routine administrative inquiries when authorized.
  • Forward requests to appropriate team members.
  • Draft basic professional correspondence.
  • Maintain organized communication records.
  • Follow up on outstanding requests.
  • Escalate urgent or sensitive matters appropriately.

Scheduling & Coordination

  • Assist with scheduling meetings, appointments, and virtual calls.
  • Maintain accurate calendar information.
  • Send meeting invitations and reminders when required.
  • Record scheduling changes.
  • Assist with coordinating availability between team members.
  • Support routine meeting preparation and follow-up activities.

The Data Entry Administrative Assistant may have access to confidential customer, employee, vendor, or company information. Employees must maintain confidentiality, protect login credentials, use approved company systems, and follow established information-security procedures. Sensitive information must never be disclosed to unauthorized individuals. Applicable privacy and data-protection requirements, including GDPR requirements where relevant, must be followed.

Remote Work Expectations

The successful candidate will be expected to maintain reliable internet access, remain available through designated communication channels, manage assignments independently, meet established deadlines, and attend required virtual meetings or training. Employees should maintain a professional remote workspace and communicate promptly regarding technical issues, unclear instructions, or potential delays.

Desired Candidate Profile

High school diploma, secondary school qualification, GED, or equivalent.

Basic to intermediate computer proficiency.
