Job Title: HR Operations Specialist

Job Summary:

The HR Operations Specialist is essential in managing HR processes related to employee attendance, leave policies, and contract renewals, contributing to the overall efficiency and effectiveness of the HR department. This role focuses on implementing and overseeing attendance tracking, sick leave, and emergency leave procedures while maintaining accurate employee records. The specialist will also ensure compliance with company policies and provide support for employee inquiries, fostering a professional and supportive work environment.


Key Responsibilities:

  • Attendance Management: Implement and monitor comprehensive attendance tracking systems to ensure accurate recording of employee work hours, identifying trends and addressing discrepancies.
  • Policy Oversight: Supervise the application of sick leave and emergency leave policies, ensuring compliance with company standards and relevant laws.
  • Contract Management: Complete the renewal and documentation of employment contracts for all employees according to the contract renewal policy, ensuring this is done at least 90 days prior to contract expiration.
  • Employee Support: Update and maintain employee information, addressing inquiries, complaints, and concerns with professionalism and efficiency.
  • Documentation and Reporting: Prepare, present, and maintain specialized documents and reports related to HR operations, ensuring all data is current and accessible.
  • Legal Compliance: Proactively monitor and ensure compliance with labor laws and regulations to maintain best practices in HR operations.
  • Continuous Improvement: Actively participate in the development and refinement of HR processes, forms, and policies to enhance operational efficiency.
  • Performance Measurement: Assist in measuring employee performance and capabilities, implementing training programs to foster development and growth.
  • Innovation Encouragement: Promote a culture of innovation by motivating employees to develop creative solutions in their respective roles.
  • Knowledge Management: Organize and document accumulated knowledge and experience within the organization to ensure continuous improvement.
  • Organizational Reporting: Update and distribute organizational structure reports for all departments and hotels daily and submit them to the HR Manager via email.
  • Job Needs Assessment: Update the job needs report for all departments and hotels weekly and send it to the Recruitment Department via email.
  • Regular Reporting: Submit periodic reports to the HR Manager, ensuring full compliance with company policies without exceptions.


Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 1-3 years of experience in human resources, with a focus on operations or employee relations.
  • Strong understanding of labor laws and HR best practices.
  • Excellent communication and interpersonal skills, with a strong customer service orientation.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Strong attention to detail and a commitment to accuracy.
