We’re Hiring: Executive Assistant
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and logistical support to our Director. In this critical role, you will ensure the seamless execution of daily executive operations, enabling the leadership to focus on driving strategic growth and client success within our fast-paced creative and digital transformation agency.
Key Responsibilities
Provide high-level, comprehensive administrative support to the Director, anticipating needs and ensuring optimal daily workflow efficiency. Manage complex executive calendars, schedule multi-stakeholder meetings, and coordinate dynamic daily itineraries. Plan and orchestrate intricate domestic and international travel arrangements, remaining highly adaptable to last-minute schedule changes. Accompany the Director on business trips to manage on-ground logistics, scheduling, and immediate administrative and operational needs. Act as a gatekeeper and primary point of contact, seamlessly filtering communications between the Director, internal agency departments, and high-profile external clients. Assist in organizing administrative tasks related to in-house production and creative projects, ensuring all paperwork, schedules, and logistical requirements are meticulously maintained. Draft, review, and organize confidential correspondence, internal communications, reports, and executive presentations. Manage expense reporting, document archiving, and ad-hoc administrative projects to support overall agency operations.
Required Qualifications
Minimum of 3–5 years of proven experience as an Executive Assistant, Personal Assistant, or Senior Secretary, preferably within a corporate, marketing agency, or fast-paced business environment. Absolute flexibility and availability to travel domestically and internationally, often on short notice, to support the Director's business requirements. Exceptional organizational, multitasking, and time-management skills with a meticulous eye for detail. High degree of professionalism, unwavering integrity, and the ability to handle highly confidential corporate information with discretion. Advanced proficiency in modern administrative tools, including Microsoft Office Suite, Google Workspace, and travel management platforms. Excellent bilingual communication skills (Arabic and English), with a strong command of professional business writing and verbal correspondence. A solid understanding of the Saudi market's corporate etiquette and dynamic business landscape.
Role Clarification This is strictly an executive administrative and personal support role, not a technical film production position. While the title involves assisting the Director within a creative and production-heavy agency, your primary focus will be entirely on high-level secretarial duties, complex logistical coordination, and dedicated business travel support, rather than on-set technical direction or camera work.
